Position Overview
The HR/Payroll Specialist handles all payroll functions, ensuring accurate and timely paycheck processing. Responsibilities include managing payments, benefits, taxes, payroll deductions, calculating overtime, commissions, and bonuses, and maintaining compliance with wage laws. This role also assists with benefits, onboarding, system/software maintenance, HR policies, compliance, and reporting. This position is crucial for ensuring smooth and efficient HR operations while maintaining high confidentiality and professionalism.
Essential Functions, Duties & Accountabilities
Payroll Administration:
1. Oversee end-to-end payroll processing, ensuring accuracy and compliance.
2. Process payroll adjustments such as new hires, terminations, salary changes, etc.
3. Review and reconcile timesheets, applicable leave balances, and related data for accuracy.
4. Address payroll inquiries and resolve discrepancies.
5. Assist with quarterly and annual tax filings and ensure accurate W-2 reporting.
6. Stay updated on tax deductions and labor regulations pertinent to payroll procedures.
7. Ensure compliance with payroll reporting and filing obligations.
8. Participate in compensation surveys to analyze competitive salary information.
Benefits Administration:
1. Assist in benefits enrollment and changes for new and existing employees.
2. Update termed employee status and information in vendor systems.
3. Assist in year-end benefit open enrollment setup and maintenance.
4. Setup, audit and maintain benefit file feeds.
Onboarding:
1. Complete new hire checklists and ensure all required items are completed.
2. Complete new hire employee set up in HRIS system.
3. Assist in coordination of Form I-9 video and documentation review.
4. Assign required training for new hires in the UKG LMS System.
5. Ensure new hire documents are filed promptly in UKG Document Manager
System Maintenance & Updates:
1. Ensure that UKG is updated and maintained accordingly with new information, system updates and processes.
2. Ensure all HR templates are updated and maintained in Adobe Sign.
3. Responsible for the integration of new modules in UKG as approved.
4. Ensure that all internal and external communication platforms are regularly updated and maintained, including the AMS intranet (I-Share), Glassdoor, and Indeed.
5. Ensure Comp Analysis system is maintained and updated accordingly with employee information and salary ranges.
HR Policy and Compliance:
1. Assist in the development and implementation of HR policies and procedures.
2. Assist in ensuring compliance with labor laws and regulations.
3. Maintain knowledge of industry trends and best practices in HR.
4. Ensure compliance with data privacy regulations and maintain confidentiality of sensitive information.
HR Reporting:
1. Compile and prepare month-end HR reports for review and analysis.
2. Generate and distribute weekly employee headcount reports to HR and management.
3. Prepare and update HR reports and spreadsheets required.
General HR Support:
1. Send out Status Change Forms for employees as required via Adobe Sign.
2. Assist in organizing HR events and initiatives.
3. Handle general HR inquiries and direct employees to appropriate resources.
4. Order and maintain general office supplies for HR Department.
5. Help maintain a positive and inclusive work environment.
6. Complete various HR administrative tasks as required.
7. Participate in HR projects as assigned by the HR Manager.
Required Additional Functions, Duties & Accountabilities
- Serve as a member of the Human Resource Team and support others as necessary.
- Maintain flexibility in work schedule to meet business needs.
- Actively and positively contribute to the overall success of the company through regular contributions to the general management of the company.
- Participate and provide assistance in inter-departmental meetings, projects and informal activities.
- Support the company and other departments wherever and whenever your skills and experience would be beneficial.
Educational Requirements
1. Bachelor’s degree in in Human Resources, Business Administration, or a related field preferred.
Experience and Skills
1. 3+ or more years of HR and payroll administration.
2. Proficiency in payroll software and HRIS systems, UKG experience strongly preferred.
3. Proficiency in Microsoft Office Suite
4. Excellent organizational and multitasking abilities.
5. Strong attention to detail and accuracy in all tasks.
6. Discretion and the ability to maintain confidentiality.
7. Knowledge of HR laws and regulations.
