The Office of the Registrar seeks an Assistant Registrar for Administrative Services to who is responsible for the overall day-to-day operations for the Office of the Registrar. The Assistant Registrar ensures a service oriented approach to support students, faculty and staff in the planning, organizing, managing and delivery of all activities related to the collection/reporting of student records in accordance and adherence to the Family Educational Rights and Privacy Act, related federal and state regulations and MCPHS academic policies.
- Assist the Senior Associate Registrar for Administrative Services with oversight of the daily operations of the Office of the Registrar.
- Supervise the Registrar Assistant I and II positions for all campuses.
- Manage the Registrar’s Office Inbox to ensure all responses to student, staff and faculty inquiries are complete in a timely manner. This includes appropriate categorization of Registrar’s Office emails to ensure proper assignment to Registrar staff.
- Oversee OnBase workflows and implement quality control checks for document indexing and keyword entries. Elevate potential workflow bottlenecks to the Senior Associate Registrar to ensure all tasks are complete according to the office production schedules.
- Serve as primary point of contact for ad hoc scheduling requests and provide problem resolution on scheduling matters for the university in consultation with the Senior Associate and/or Associate Registrar for Registration and Scheduling. Troubleshoot AdAstra event inquiries, rooming issues and ensure all space reservations remain closely monitored with regularity. Coordinate the creation of Final Exam Schedules and the collection and booking of exam overflow needs for all campuses each semester.
- Monitor student attendance verifications and related administrative withdrawals. Support web check-in and class attendance online tutorial procedures to include frequent communication with faculty and program chairs regarding registration issues.
- Assist the Assistant Registrar for Compliance with processing leaves of absence, withdrawals, special academic requests, change of programs, program evaluation updates and petitions for transfer credit.
- Complete all custom enrollment verifications and form letters.
- Support the Associate Registrar for Registration and Scheduling Services with the input, development and implementation of the academic course schedule and term block scheduling registration processes each semester.
- Manage all administrative registration processing for special populations throughout the academic year, including students on clinical assignments and students returning from leave of absence.
- Oversees Colleges of the Fenway cross registration scheduling, grading and registration of MCPHS and other COF (COF) students; disseminate information to students, monitor registrations, and prepare reports for other COF registrars; attend COF meetings.
- Collaborate with Senior Associate Registrar and Associate Registrars to ensure procedural documents reflect contemporary processes and best practices.
- Represent the Registrar’s Office on official university committees.
- Perform other work as directed by the Senior Associate Registrar and University Registrar.
- Regular travel to all University campuses (Boston, Manchester and Worcester) required.
- Contributes to sustaining and enhancing an inclusive working and learning environment.
Required:
- Bachelor’s degree
- Minimum of 1 year of supervisory experience including ability to manage people, direct their work and provide evaluative information on performance
- Minimum of 2 years of administrative experience in higher education setting; preferably in a registrar, financial aid, admissions or advising office
- Effective interpersonal and communication skills
- Ability to compose clear documentation
- Ability to multi-task, establish priorities and perform well under pressure
- Ability to maintain a high level of accuracy
- Ability to understand and analyze data; recognize anomalies and interpret legal requirements
- Ability to be on site for scheduled work hours; some evenings and weekends are required
- Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment
Preferred:
- Proficient with Microsoft Office products
- Experience using Ellucian Colleague SIS, Hyland OnBase document imaging, AdAstra Scheduling and/or Web Registration system within a SQL environment
Physical Requirements:
- Standing, sitting, manual dexterity, ability to move between offices and floors of buildings.
- Ability to meet deadlines and perform well under pressure.
- Ability to be physically in attendance at designated worksite during scheduled work hours and to work some evenings and weekends.
- Normal range of vision and hearing (with or without correction).
- Ability to lift up to 5-10 lbs.
