Job Title: Executive Administrative Assistant
Location: Remote; occasional travel to the home office in Dallas (The Star in Frisco)
Hours: Full-time (37.5 hours per week)
Position Summary: We are seeking a seasoned and polished Executive Administrative Assistant to provide high-level support to the CEO of a legal marketing firm. This remote position requires a proactive individual who is fast, efficient, knowledgeable, and maintains the highest standards of professionalism. The role demands exceptional organizational skills, discretion with confidential information, and the ability to anticipate needs and prioritize tasks effectively. Occasional travel to our Dallas office will be required, approximately once a month.
Key Responsibilities:
- Manage the CEO's calendar, appointments, and travel arrangements with meticulous attention to detail.
- Handle incoming and outgoing communications on behalf of the CEO, ensuring timely responses and maintaining professionalism.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Coordinate meetings and events, including logistical arrangements and preparation of meeting materials.
- Maintain confidentiality of sensitive information and exercise discretion in all interactions.
- Conduct research and compile data to support the CEO in decision-making processes.
- Assist in special projects and initiatives as assigned.
Qualifications:
- Proven experience as an Executive Assistant or similar administrative role supporting C-level executives.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize workload effectively.
- Strong verbal and written communication skills, including professional etiquette in all interactions.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software such as:
- Calendar and Scheduling: Outlook Calendar, Google Calendar
- Communication: Microsoft Teams, Zoom, Slack
- Document Management: SharePoint, Dropbox, Google Drive
- Travel Management: Concur, Expensify
- Ability to work independently in a remote setting while maintaining high productivity and attention to detail.
- Discretion and trustworthiness in handling confidential information.
- Flexibility to travel to the Dallas office as required (approximately once a month).
Education and Experience:
- Bachelor’s degree preferred.
- Minimum of 4 years of experience in a similar role, preferably in a professional services environment.
