Description:
We are currently looking for a dynamic and experience Senior Executive Assistant to join our team at Joyce University. Reporting directly to the Vice President of Operations (VPO), the Senior Executive Assistant provides executive and administrative support to the President & CEO and VPO. The Senior Executive Assistant is responsible for oversight of day to day administrative and facilities operations. This position is located on our Draper, Utah campus.

WHAT YOU DO EVERYDAY:
-
Assists with daily administrative duties and completes a broad variety of administrative tasks that include calendaring, correspondence, compiling documents for meetings and archiving meeting minutes and recordings

Coordinates high-level meetings and events, managing venue contracts, catering, sleeping accommodations and ground transportation

Support executive team members as needed

Maintains strict confidentiality in all matters

Creates monthly expense reports
-
Organize and maintain digital files
-
Manages institutional gift giving
-
Coordinates the Joyce Calendar
-
Oversees facility availability for events, meetings and other functions
-
May take on a junior project manager role as assigned

Has direct oversite of the Joyce University Draper Campus facilities maintenance, cleanliness and adherence to brand standards

Manages and develops facilities team members comprised of the Administrative & Facilities Assistant and Handyman

Builds and maintains relationships with facility property manager and vendors

Oversees janitorial and maintenance contracts

Responsible for developing and maintaining facilities maintenance budget

Develops and oversees maintenance of facility recordkeeping including HVAC records and invoices
-
Directly responsible for calendaring and maintenance of Joyce automobiles and ensuring only appropriately insured drivers are given access

Oversight of all on campus signage including creating visuals

Develops and maintains policies and procedures

Other duties as assigned
Requirements:
EDUCATION/EXPERIENCE:

Required education: High School Degree and some college

Preferred education: Bachelors degree

Preferred experience: 2-3 years experience supporting executive team or manager; experience handling confidential information with a high level of professionalism and discretion; high level of knowledge with Outlook email/calendaring
