Job Title: Office Manager
Principal Duties and Responsibilities
- Manage the service/maintenance dispatch department, including customers and all personnel.
- Responsible for maintaining positive customer relationships with all existing and potential new customers and for helping instill a quality customer service philosophy in all Service Technicians.
- Maintain and manage existing local filing systems and processes.
- Assists the Service Manager, Project Manager, and Sales Manager as requested to achieve their goals.
- Uses COINS to input service/maintenance requests, retrieve customer information, and make changes to customer orders/trouble call needs.
- Processes billing and accounts receivables and enters payroll.
- Contract renewal, billing, and new contract setup.
- Maintains past due AR reports, including contacting customers to collect past due debts.
- Processes and maintains reporting computer-dispatching files of active service requests, bills them in a timely manner, and provides updates on older calls.
- Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff by company purchasing policies and budgetary restrictions.
- Manage the fleet inspections, maintenance, and procurement requests.
- Assists HR with New Hire documentation and orientation, termination, and benefits processes.
Job Specifications (incl. Education requirements, minimal experience, computer skills required, etc.)
- 3+ years experience in office management.
- Proficiency with Microsoft Office Software.
- Proficiency with basic bookkeeping and accounting procedures.
- Excellent communication skills, both oral and written.
- Good organizational skills
- Ability to coordinate and work well with others.
- Customer Service oriented

Compensation Range: $85,000 - $90,000 per year
