Responsibilities:
● Take incoming calls from Intake Cell Line, Faxes, and/or emailed correspondence
● Process all referrals, and assign the case to a Consultant the same day referral is received
● Maintain Spreadsheets for Waitlist, IHT, OP, CSP, Op/SUD, TM Services
● Email completed Referrals and Referral updates to Billing Office and enter into ICAnotes
● Check daily all faxed Authorizations, Assign Consultant, process and upload to
ICAnotes
● Provide correspondence to Client to inform them about Service
● Contact Weekly Referrals on Waitlist to access for Medical Necessity
● Create new Charts in ICAnotes
● Work with sensitive information/situations and maintain strict confidentiality.
● Assist/support Staff and Supervisors, as needed
● Coordinate and attend weekly, monthly or other assigned meeting
● Perform other tasks assigned by CEO and/or Executive Director
Experience:
● Minimum of 3 years’ experience in a Clinical Setting.
● The Candidate must have a Master’s degree or in Business, Social Work, Human Services, Mental Health or Hospital Administration
● Proficient in MS Office Suite, especially Word and Excel, database management to generate reports; produce mailing labels/lists, mail merges, etc.)
● Familiarity with Massachusetts Department of Public Health privacy policies a plus
● Operation of standard office machines
● Professional appearance (Business Casual)
● Ability to work with diverse populations
● Excellent organizational skills and strong attention to details
● Ability to work well under pressure, work independently, and as part of a team
● Must exhibit excellent verbal/written communication skills
● Efficiently perform day-to-day office operations
● Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations
● Attend Trainings in order to stay current and improve skillsets
As an Intake Coordinator, you will play a crucial role in ensuring a smooth intake process for patients at our office. Your attention to detail, strong organizational skills, and ability to communicate effectively will contribute to the overall efficiency of our healthcare team.
