POSITION SUMMARY:
Provides a wide range of administrative assistance and support with a high degree of confidentiality. Supports other Human Resource responsibilities including staffing, onboarding, records management, employee relations, training & development, policy implementation, employment law compliance, safety and other duties/projects as assigned.
POSITION RESPONSIBILITIES:
Recruiting
- Writes and places internal and external employment advertisements.
- Interviews, screens and recruits job applicants to fill production entry, skilled and technical level job openings.
- Conducts required pre-employment assessments on all accepted offers.
- Conducts bi-weekly new-employee orientations.
- Conducts exit interviews, analyzes data and makes recommendations to the management team for corrective action and continuous improvement.
HRIS
- Manages and maintains accuracy of employee personnel files in Human Resources Information System. Provides User support to new Users and provide first level support to employees and managers. Create reports from HRIS system as needed to support other processes and upon request. Train new employees how to navigate the employee portal.
- Utilizes time and attendance system, including but not limited to managing accrual profiles (vacation, sick leave, etc.), new hire entry, providing resolution to system errors, etc.
Employee Relations
- Manages and tracks all employee disciplinary action.
- Monitors tardy and absenteeism reports and ensures proper documentation is issued on employees who have excessive tardiness or absenteeism problems.
- Responds to employee relation issues such as employee complaints, harassment allegations and civil rights complaints.
- Maintains and coordinates employee recognition programs.
- Organizes morale booster events.
Environmental Health & Safety
- Manage the maintenance and implementation of safety programs, compliance plans, and initiatives.
- Participate in the investigation of incidents, near misses and property damage incidents. Ensure follow-up is done to minimize future exposure and proper records/documents are maintained.
- Maintain compliance with permits, government regulations and other industry practices.
- Keep abreast of any safety and environmental law or regulation changes that impact the organization.
- Respond to environmental requests from customers pertaining to the regulations and certifications of supply chain.
Benefits Administration
- Monitors usage and distribute leave of absence and disability paperwork: medical, personal, disability, FMLA. Maintains follow-up for employees out on FMLA. Effectively interprets FMLA and ADA implications as they related to leaves of absences/disabilities with VP of HR oversight.
Records Management / Administration
- Manages and maintains physical and electronic employee records in accordance with record retention policy.
- Monitors employee performance evaluations and ensures they are done in a timely manner (i.e., three months, six months, one year and yearly thereafter).
- Monitors and maintains eligible salary adjustments/increases based on three, six-month, and one-year evaluations.
- Reports, maintains and monitors all workers' compensation case files; follows-up on open cases.
- Completes unemployment claims and provides company representation at unemployment hearings.
- Process weekly department invoicing, and occasional credit card expenses, in accounting online system.
- Ensures compliance with USCIS Form I-9 Employment Eligibility Verification; periodically audits Forms I-9.
EDUCATION/EXPERIENCE/SKILLS:
REQUIRED:
- Bachelor’s Degree in business discipline and 1-year experience or
- Associates Degree and 3-5 years’ experience in a Human Resources
- Intermediate to advanced working knowledge of MS Office application software packages (Word, Excel, etc.)
- Strong organizational and multi-tasking skills required.
- Experience with report writing applications
- Excellent interpersonal and communication skills with a collaborative, consultative and innovative approach to identifying opportunities and solving problems. Excellent written skills.
- Experience in handling sensitive, confidential information
- Problem solving and analytical skills.
- High level of accuracy, follow-through, prioritizing and meeting deadlines are essential along with a highly professional and calm demeanor projecting energy and helpfulness.
PREFERRED:
- UKG Pro knowledge preferred or any HRIS systems experience with Time and Attendance Management
- Strong aptitude for learning new technology and leveraging technology for best practices and processes.
- Human Resources or related certification
WORKING ENVIRONMENT:
- Ability to work on-site in the facility.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- Requires working indoors in environmentally controlled conditions.
- Requires sitting for long periods of time.
- Requires repetitive movement.
