Position Overview:
Altano North America is seeking to fill the key supporting role of Business Coordinator for the Altano North America Corporate Team. The successful candidate will be extremely detailed oriented, thrive in multi-tasking, be inspired by taking on new projects that require creative development, and enjoy engaging with industry professionals at events. The Business Coordinator will be part of a team that values collaboration, creativity, passion, and compassion as we work towards our goals. This position is located in Lexington, Kentucky and includes a combination of remote and on-site work. Limited travel may be required for specific periods of time to assist with events.
Responsibilities
Assist with operations projects, including:
- Meticulously organize corporate team travel, including book flights, hotels, rental cars, dinner reservations for team members and prospective team members
- Strategically negotiation and maintain oversight of corporate travel agreements such as rental car and hotel group rates
- Complete timely submission of travel reimbursement requests to accounting
- Support preparation of Non-Disclosure Agreements with the utmost confidentiality
- Thoroughly organize internal events such as bi-annual Altano North America Day meetings and annual Holdings Team meetings, to include hotel, meeting space, technology requirements, receipt and structure of presentations, catering, handouts, signage, name badges, dinner reservations, event setup and takedown, and event surveys.
Assist with marketing projects, including:
- Creatively write welcome memos and articles for the internal newsletter articles, and organize timely distribution of these items, including supporting podcast organization and distribution
- Proactively organize updates to the Altano North America website
- Management of ordering and maintaining appropriate quantities of promotional materials such as brochures and giveaways
- Oversite of Altano vest orders and manage inventory and shipping to support network practices needs
- Provide support with writing inspiring social media content and creating original images for Altano North America Career pages
Assist with recruiting efforts, including:
- Organization of external recruiting events such as OEPS, AAEP, and career fairs by completing registration, organizing shipping of supplies to include booth, brochures, and giveaways, as well as setup and takedown of booth when applicable
- Attend external recruiting events and passionately engage with attendees
- Weekly communication with practices to compile extern contact information and organize distribution of Externship Program Evaluation
- Research, build, and proactive oversite of database to outlined university job sites and network program information postings
- Timely organization of travel reimbursement submissions to accounting for doctor applicants
Assist with human resources projects, including:
- Monthly reconciliation of network practice insurance information
- Complete new hire employee background checks
- Organize new employee welcome folders
- Execute new hire sign-up and termed employees removal from Altano specialty benefits such as Altano Academy and AAEVT
Assist with additional responsibilities:
- Perform other duties as assigned.
Qualifications:
- College degree preferred or equivalent 3+ years experience in business coordination.
- Strong business writing and oral communications skills necessary
- Strong organizational skills and attention to detail
- Must possess strong research and follow-up skills
- Event planning and marketing experience preferred
- Experience with Canva preferred
- Knowledge of Microsoft Office (Outlook, Word, and Excel) required.
- Knowledge of veterinary practice management system, HVMS, preferred.
- Equine experience preferred
Job Type: Part-time
Pay: From $21.00 per hour
Expected hours: 20 – 40 per week
