Job Description: Association Manager
Objective & Goal: To represent Community Association Group, Inc., as the corporate ambassador and account manger. Facilitate the day to day operations for assigned clientele consistent with the Community Association Group corporate culture and the client/Association Board of Directors objectives. Perform all necessary duties and responsibilities necessary to serve the needs of the assigned community portfolio. To perform all tasks as required; promote the advancement and success of the corporation.
Scope of Duties:
Communications & Representation
1) Respond to verbal and written communication received in a timely (not less than 48 hours, exclusive of leave time) manner.
2) Prepare newsletters as required by the corporation
3) Prepare Board packets deposit in U.S. mail at least 2 days in advance of any meeting
4) Prepare violation letters, notices to owners and homeowner letters in a timely manner.
5) Prepare and monitor maintenance work orders
6) Prepare re-sale disclosures if required
7) Prepare vendor specifications when necessary
8) Prepare Bid requests or proposals when necessary
9) Act as liaison with vendors and local governmental agencies
10) Prepare information and collect data for web site data
11) Perform on-site inspections monthly or as deemed necessary
12) Part of on-call rotation schedule with other company employees. Required to respond to calls as they come in for the site as needed.
Fiscal Management
1) Prepare community budgets
2) Analyze monthly financial status of each community, including but not limited to; budget variances, accrued expenses, planned and un-planned expenses, operating and reserve account balances, delinquencies/receivables and investments.
3) Approve expenses and invoices for payment
4) Follow up with legal representative for collections
5) Aid in the creation of the overall value to each community
Client Relations
1) Familiarize oneself with the client’s association legal documents and understand the scope of responsibility of the BOD
2) Monitor maintenance, cleanliness and safety of each community within the scope of the Board directives.
3) Make recommendations which will enhance the property operations and value.
Corporate Systems and Procedures
1) Utilize the established file systems and forms of the Community Association Group
2) Act as a professional ambassador presenting an image consistent with the corporation
3) Be Honest
4) Be Loyal
5) Be willing to work within a flexible work day which accommodates the meeting requirements established by the contract with the corporation.
6) Be mindful of the corporate charges and expenses meeting
7) Participate in training sessions as necessary
8) Assure insurance coverage for each client/community and completion of the insurance disclosure proving additional insurance coverage to the Community Association Group
9) Whenever possible, provide business and make contributions to help grow all aspects of the company revenue sources
10) Assess excess liability or exposure with clients and report as necessary
11) Hire, supervise and train on-site staff as may be required by any community
Required Knowledge:
Proficiency in MS Office Suite (Outlook,Word, Excel, PowerPoint applications), experience with Caliber property management software is ideal
Required Education or Experience:
Three to five years’ experience in property management positions with an emphasis in HOA management. Bachelor’s Degree or equivalent experience preferred; High school diploma or GED required
Physical Demand:
Must possess mobility to work in a standard office setting (sitting up to 8+ hours at a desk) and to use standard office equipment, including a computer; stamina to maintain attention to detail despite interruptions; strength to lift and carry items weighing up to 25 pounds; vision to read printed material and a computer screen; and hearing and speech to communicate in-person and over the telephone. Must be able to quickly and easily navigate the property/building as required to meet the job functions, including climbing stairs and walking the hallways and common areas (if required).
Emotional/Mental Ability: Must be able to accept and mentally process differing points of view; to process differing behaviors by clients (abusive homeowners/board members to happy/thankful homeowners/board members).
Driving Ability: Valid driver’s license required. Must possess the ability to safely drive to designated properties that the company manages on a weekly basis for site inspections and meetings – up to 100 miles roundtrip/time (mileage reimbursed).
