Reception Staff Job Summary:

Represent the practice/hospital in all facets of patient services, including, but not limited to; greeting patients, answering the telephone, scheduling appointments, maintaining patient records, and coordinating patient flow.
Essential Duties: Greets visitors entering the practice/hospital. Assists patient owners by escorting them to exam rooms or directing them to the products or services needed. Answers telephone, routes calls, provides information and takes messages in accordance with practice/hospital procedures. Schedules patient appointments. Manages the daily, weekly, and monthly calendars. Receives, sorts, and distributes incoming mail. Prepares and posts daily outgoing mail. Establishes, maintains, and scans patient files and records as necessary. Reconciles financial records by receiving and recording client payments.
Prepares correspondence, memos, condolence letters, and other documents, as requested. A computer, fax, or courier service is used to transmit information or documents when requested. Assists all practice/hospital staff and assists with special projects, as needed. Answers questions and resolves complaints. Advises patient’s owner regarding vaccinations, vaccination history, heartworm tests, and fecal tests.
Supplies vaccination schedules, rabies tags/certificates, and pre/post-surgery instruction sheets to patient owners as directed. Ensures all supplies are well stocked. Keeps the front desk, reception areas, and exam rooms clean. Performs necessary duties associated with checking owners and patients in and out. Updates current personal information and weighs patients upon check-in. Calls clients the day before to remind them of a scheduled appointment time. Escorts and assists owners to their cars, as needed.
Knowledge/Skills/Abilities: Knowledge of practice/hospital reception procedures. Knowledge of English composition, grammar, spelling, and punctuation. Skilled in the use of standard office equipment, including telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Veterinary Practice Management software). Engenders trust in the clients being served. Maintain confidence with the client regarding the abilities of the doctor(s) and staff. Works cooperatively with management, staff, and clients. Ability to prioritize, organize, and complete tasks independently. Ability to greet visitors professionally and courteously. Ability to accept constructive criticism. Ability to understand and follow written and verbal instructions. Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality. Ability to communicate and express thoughts and ideas competently. Ability to work well with the public. Ability to quickly grasp relevant concepts regarding duties and responsibilities.
Education / Experience: High school diploma or equivalent. Minimum of 1 year of relevant experience. Physical and Environmental Requirements: You may be required to lift up to 40 lbs—exposure to moderate noise levels. Bending, stooping, reaching, pushing, and pulling are frequently required when providing customer service to patients and clients. Active movement throughout the day: walking, standing, squatting, etc. (not a sedentary position). Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment. Occasional exposure to toxic or caustic chemicals and radiation. Additional or different duties may be assigned occasionally at the employer’s discretion.
