POSITION SUMMARY
The Materials Manager is responsible for the materials management process, which includes inventory control, ordering and receiving all medical supplies through the procurement system (ENVI), maintaining an appropriate inventory of all medical supplies, and receiving and stocking all medical supplies to their assigned area. Provides support to the endoscopy team and communicates appropriate information to other team members. May have additional responsibilities as designated by the manager, which may include, but are not limited to, providing patient care in other peri-operative departments and/or being tasked to duties in other departments in which the Administrator or Nurse Manager sees fit.

ESSENTIAL JOB FUNCTIONS
- Orders and maintains all medical inventory at the facility through the utilization of the USPIs procurement system (ENVI).
- Performs biannual inventory accounting.
- When supplies arrive at the facility, checks in all supplies per invoice and purchase order, delivers all supplies to the appropriate location, accounts for all back orders, and prepares and organizes required paperwork for entry into ENVI.
- Knows and adheres to policies of the Center and demonstrates fiscal responsibility.
- Follows standards, policies, procedures, goals, and objectives for nursing care according to accepted standards.
- Maintains and demonstrates current skills and knowledge in aseptic technique and cleaning/ preparation of equipment and procedure room.
- Follows OSHA and other standards for protection against blood-borne pathogens and body fluids.
- Seeks involvement in activities that promote professional growth and behavior.
- Remains calm and functions as a team member during times of stress and crisis situations.
- This job requires access to Personal Health Information (PHI), HIPAA training is required, and HIPAA compliance is expected.
ADDITIONAL RESPONSIBILITIES
- Establishing key performance indicators (KPIs) and metrics to evaluate supplier performance and make data-driven decisions on supplier relationships.
- Developing contingency plans to address supply chain disruptions due to emergencies or disasters, ensuring business continuity.
- Providing training for the materials management back-up to ensure they have the skills and knowledge needed for continuity in the absence of the Materials Manager.
- Staying up to date with industry-specific regulations and ensuring that the materials management processes comply with all relevant legal and regulatory requirements.
- Leading continuous improvement initiatives to enhance the overall effectiveness and efficiency of the materials management function, including process optimization and performance metrics tracking.
- Identifying and mitigating potential risks within the supply chain, such as supply disruptions, geopolitical issues, or regulatory changes that could affect the availability of materials.
- Ensuring that the materials received meet quality standards and working with quality assurance teams to address any issues related to material quality.

- Effective communication skills are important for collaborating with suppliers, cross-functional teams, and internal stakeholders. Materials managers must convey requirements, share information, and resolve issues effectively.
- Effective time management skills to handle multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
- The ability to identify and address supply chain issues and bottlenecks promptly. Materials managers should be skilled in root cause analysis and problem-solving techniques.
- Proficiency in data analysis and the use of analytics tools to track key performance indicators (KPIs) and make data-driven decisions. This includes forecasting demand, monitoring inventory turnover, and identifying trends.
- A commitment to continuous improvement and the ability to lead process optimization initiatives to enhance the efficiency and effectiveness of materials management operations.
EDUCATION AND EXPERIENCE
- High school graduate. CST or six months of experience is preferred but not required.
- Work experience in supply chain management, materials management, or procurement is preferred.
- Proficiency in using relevant software and technology, such as ENVI, inventory management software, and supply chain analytics tools. Technical competence is essential for efficient materials management.
- Strong procurement skills, including vendor selection, negotiation, contract management, and supplier relationship management. The ability to secure cost-effective and reliable sources of supply is crucial.
- Knowledge of inventory management principles, including inventory control methods, demand forecasting, and strategies for optimizing inventory levels.

- Mobile enough to move around the facility and inspect inventory. Being physically able to navigate through clinical spaces is important.
- Ability to communicate in English.
- Good vision is essential for reading labels, identifying materials, and inspecting inventory for quality control purposes. Glasses or corrective lenses, if needed, should be worn to ensure accurate visual assessments.
- Adequate hearing to communicate with team members, suppliers, and other stakeholders. Clear communication is critical for effective materials management.
- Materials manager will often split their time between office work (sitting at a desk) and stocking the facility (standing or walking). The ability to switch between these positions comfortably is beneficial.
- In some cases, materials managers may be required to drive to pick up supplies. A valid driver's license and a good driving record are necessary for these situations.
- Materials manager should be safety-conscious and able to adhere to safety protocols and guidelines within the workplace, ensuring the well-being of themselves and their teams.
