Job Overview
The Office Manager will be a shared position responsible for overseeing the day-to-day operations of Tozitna, Limited. In this shared position, each person will have shared responsibilities, and specific responsibilities will be assigned based on their individual knowledge, experience and interests. Candidates selected must be able to work collaboratively. Both individuals will be cross-trained in all functions. The Office Manager reports to the President and works closely with the full Board of Directors to implement long-term plans for the company's growth and success.
Major Responsibilities of Office Manager
- Manages Tozitna’s day-to-day operations, ensures efficient utilization of resources, and oversees Tanana Gas Company and Tozitna Settlement Trust operations.
- Collaborates with BOD and President/Chair to develop and implement a long-term strategy.
- Prepares board packets, maintains board records, attends board meetings.
- Organizes the annual shareholders notice and proxy packet mail out and meeting, supports tabulator and election judge, and coordinates special events.
- Maintains the shareholder database, processes shareholder changes with probate attorney, manages communications, and inquiries.
- Develops and maintains relationships with community stakeholders.
- Oversees financial planning, accounting, reporting, and coordinates with contracted Investment Manager, and contracted Accountant for year-end financial statements and taxes.
- Manages recruitment, employee relations, training, organizational development and consults with HR consultant as needed.
- Consults with legal counsel, ensures compliance with laws and regulations, and manages legal affairs.
- Identifies, assesses and mitigates potential risks that could impact the organization's objectives, financial stability, reputation, and overall success.
- Coordinates with Tozitna Settlement Trust for meetings, agenda and minutes; also to calculate and process distributions, scholarships, potlatch assistance and donations to shareholders, ensuring accurate and timely payments.
- Coordinates with BOD, Land Consultant and regional and local partners on creating, implementing and monitoring land use policies, completing 14(c) process, managing land records.
- Oversees management and legal compliance of Tanana Gas Company, coordinates ordering of inventory, monitoring fuel operations, bookkeeping, and supervises the Gas Attendant.
- Other duties and special projects as assigned.

Specific duties will be determined based on your knowledge, experience, and interests, such as shareholder records, land, and/or accounting.
Minimum Education/Experience
- GED/High School Diploma required; Associates degree preferred.
- Relevant work experience: 5 years of administrative office experience preferred, 2 years of management experience preferred.
- In lieu of formal education and experience, demonstrated experience as a volunteer in organizing & event planning.

Preferred Knowledge or Skills
- Proficient in accounting or bookkeeping.
- Knowledge of board management, including agenda and board minute preparation.
- Experience in shareholder record maintenance.
- Experience with database management.
- Strong understanding of business operations, finance, and customer service.
- Strong understanding of and experience with the community and organizations of Tanana and the Doyon region.
- Familiarity with ANCSA and Alaska Native entities.
- Understanding of ANCSA 14(c) requirements.
- Familiarity with ANCSA Settlement Trusts.
Physical Demands
- Sedentary to light physical workload, including the ability to walk, lift, grasp, talk, hear, and perform repetitive motions.
- Able to exert up to 30 pounds of force occasionally and/or up to a negligible amount of force constantly to move objects, including the human body.
- Close visual acuity required for activities such as viewing a computer terminal and extensive reading.
- Must be able to travel via airplane, car, boat, etc.

Pay and Benefits
- Hourly rate: $25 - $35 per hour.
- Paid Time Off (PTO), Holidays included.

Work Schedule
- Up to 20-30 hours per week for each employee.
- Weekends may be required on occasion (Board and Shareholder Meetings).
Work Location
Dependent on employee location, options include office in Tanana, or remote work. For remote work, employee will be required to travel to Tanana and must have stable internet and phone connectivity.
