General Summary:
The Imaging Administrative Assistant is responsible for welcoming patients into the Imaging center. This position checks patients in, answers phones and prepares patients and charts for their upcoming scan.
Essential Job Functions:
- Answer incoming Imaging calls and triage those calls. Transfer to appropriate personnel.
- Greet patients and visitors in a friendly and professional manner.
- Obtain patient information and ensure all patient information is current.
- Obtain required co-pays, deductibles, coinsurance, past due balances, patient assistance payments from patients.
- Notify appropriate Tech that patient has arrived and is waiting to be seen.
- Scan all required information (insurance cards, etc.) as required.
- Batch money and finalize at the end of day to send to designated area.
- Must confirm all patient appointments two days prior to scheduled appointment including date, time, location, monies owed, or other pertinent information.
- All fee tickets, data sheets, and flow sheets must be printed the day prior to scheduled office.
- Disperse barium prep for the patients who come in prior to their appointment.
- Communicate with technicians and nurses to retrieve orders and faxes.
- Create discs of patient’s scans for patients and referring physicians as needed.
- Complete “No Show” cards and create mailings to patients who miss their appointments.
- Each patient’s task must be reviewed and authorization verified the day prior to scheduled appointment and prior to confirmations.
- Answer incoming calls as needed and transfer as appropriate.
- Must be knowledgeable in the clinic’s various insurance plans.
- Monitor and distribute administrative faxes.
- Maintain a clean and stocked lobby for imaging patients.
- Requires access to Personal Health Information (PHI), HIPAA training is required, and HIPAA compliance is expected.
- Must follow the organization’s Code of Conduct
- Must participate in the Compliance Program Initiatives and reporting and Compliance Issues
- Other duties assigned

Education and Experience:
High School diploma required.
Physical Requirements:
- Ability to stand, walk and sit for an extended period of time.

- Ability to see within normal parameters.
- Ability to hear within normal range.
- Ability to use hands, arms and legs within specifications of the job
- Must be able to lift up to 15 pounds at times.
