Summary of Functions:
This position performs diverse and advanced administrative support duties for the Company's Leadership Team. Assignments involve working with confidential information, organization, proof-reading contractual agreements and other departmental documents, and assisting in other areas as needed.
Major Duties and Responsibilities:

Conducts research, summarize and investigates facts related to potential business opportunities, risks, and projects.

Coordinates information gathering for various projects, programs, and process improvements.

Assists in maintaining budgets and spend tracking.

Drafts and edits documents, announcements, standard operating procedures and contracts.

Works closely with the leadership team and management of various departments.
-
Coordinate meetings, appointments, and travel arrangements as necessary.
-
Schedule and maintain calendars.
-
Handle phone calls, inquiries, and correspondence.
-
Organize and manage files, records, documents, and contracts.
-
Prepare reports, presentations, and meeting materials.
-
Attend meetings, take detailed notes, and distribute minutes.

Assist in preparing agendas and presentations.
-
Handle administrative duties such as filing, data entry, and ordering of office supplies as needed.

Assist with special projects.
-
Handles confidential matters and maintains strict confidentiality regarding sensitive information.

Works with outside legal and consultants.
Qualifications:
-
High school diploma required. Certified Paralegal a plus. Bachelor's degree in business administration desired.

5 years of experience in administrative role. Ideal candidate would have experience in a legal office.

Proficiency in document creation and proof reading.

Experience with Word, Excel, PowerPoint, Outlook and Adobe Acrobat with the ability to learn specific company software, web-based apps as well as smartphone apps, and various basic IT functions that may come up.

Excellent organizational skills.

Ability to maintain confidentiality.

Ability to work cooperatively with others and always maintain a positive attitude.

Bi-lingual in Spanish a plus.
