Perform secretarial duties and assist Program Coordinators in efficient operation of the Department.
Qualifications
Education/Certification:
High school diploma or equivalent
Experience:
Three years secretarial/clerical experience
Special Knowledge and Skills:
Knowledge of all job related skills necessary to perform assigned duties.
Major Responsibilities and Duties
- Serve as receptionist for Program Coordinators – Communicate with parents, community, administrators, and TISD staff.
- Review mail, handle routine items, and determine distribution for Program Coordinators.
- Coordinate meetings – arrange for facilities, contact participants, prepare materials, and supply refreshments.
- Assist in development of program budgets.
- Demonstrate responsible fiscal control of assigned program budgets, including purchasing, invoicing and inventorying items, as appropriate.
- Maintain accurate records of expenditures.
- Assist in coordination of staff development programs – preparation of brochures and materials, registration, and analysis of evaluation data.
- Assist in coordination of district-wide surveys.
- Maintain office equipment.
- Order materials and supplies for efficient operations of office.
- Maintain filing systems.
- Prepare documents – curriculum, program evaluations, and Board Reports.
- Prepare manuals and handbooks for distribution.
- Maintain professional library.
- Prepare graphics for presentations.
- Coordinate registration, travel, and housing arrangements for Program Coordinators.
- Continue to refine computer skills – word processing, database, spreadsheet, etc.
Working Conditions
- Necessary to lift heavy boxes in the process of receiving and inventorying equipment.
- Use of personal vehicle is necessary to run errands and pick up supplies as necessary.
Wage/Hour Status: Non-Exempt
