Customer Service Representative
(part-time)
SUMMARY
This position provides diverse administrative and varied clerical support in Planning and Development. This is a responsible position that involves extensive public contact and effective coordination with other City departments. Essential functions may include but are not limited to the following::
- Enters data into computer, for permits, inspections and code enforcement activity.
- Acts as support staff for the Building Commissioner in assisting people at the front counter; answers questions, issues permits, disseminates information, and accepts and processes inquiries regarding building codes, permits, code enforcement, construction requirements and zoning matters.
- Explains City rules, regulations and procedures to citizens and contractors, aids citizens in filling out forms and applications for service. Provides information and handouts pertinent to buildings/additions, sign permits, elevators, plumbing, fences, swimming pools, and electrical.
- Types and proofreads records, forms, and correspondence.
- Indexes and files correspondence, reports, and forms. Maintains records and filing systems according to established methods and procedures.
- Answers telephone calls and provides routine information.
- Maintains directories and extensions of offices.
- Counts and verifies funds received, writes receipts, maintains appropriate records and prepares deposit tickets. May maintain accounts receivable and payable records.
- Operates office technology as required.
- Maintains current elevator certificates records.
- Maintains files of microfilm drawings.
- Notifies Assessors Office of permit activity and obtains related drawings for the Assessor.
- Coordinates Health Department approvals.
- Coordinates FOIA responses with the FOIA Officer.
- Compiles and completes monthly and yearly building and code enforcement reports.
- Maintains departmental payroll records on the City's financial software program.
- Notifies DuPage County Clerk's Office of lawn sprinkler permits.
Qualifications
Qualified candidates must possess a high school diploma or equivalent, with a minimum of three years of experience in an office setting. Experience in construction and/or municipal code enforcement environment is strongly preferred.
