This is a PT, freelance, Lead Event Coordinator role for our Marriage Proposal Events company providing 9-21 hours per week.

JD: This is a part-time, on-site Lead Event Coordinator role. You will be managing the day- of event coordination, the on-site team, and the set up, production, and break down of marriage proposal events. The events are in 3 hour time blocks in private and public venues across Manhattan and Brooklyn. We average 20 events a week/80 a month.
The events typically always include: 1.5 hours for set up, 1 hour with the client , 30 minutes for breakdown.
Selected potential candidates will be invited to a 30 minute virtual interview. Successful candidates will be required to attend a mandatory, in-person, training day Sunday, May 12th, from 10:00 - 1:00pm.Please reserve the date/time.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES
- Timely, focused, reliable.
- Reviews event order/client forms prior to the event so to establish a game plan and come prepared to direct the on-site event flow with strong attention to detail and an ability adapt if changes are made.
- Is connected with client via text prior to the event and is responsive to their needs/questions/and coordinates their arrival.
- Brings the EE energy to motivate and direct. Represents EE in all capacities and leads by example! You are the face of the brand!
- Takes ownership of the event/all involved parties and is able to clearly communicate and delegate their plan to on-site assistants/freelancers. The on-site lead manages 1 or 2 on-site assistants and a freelance professional photographer.
- Keeps the team on track for time.
- Takes the opportunity to share knowledge/help lead the team when needed.
- Directs the unloading of decor from company vehicle and the transport of the decor from the van to the venue
- Occasionally drives the van to and from venues (additional paid hours)
- Willingness to run on-site errands (ex. pick up additional flowers or photos) or assigns on-site errands to assistants when needed
- Has a strong knowledge of EE event designs, BTS requirements, and photography shot list (We will teach you!)
- Directs and participates in the set up of decor and design (ex. set up 3ft MARRY ME LED letters or build faux flower heart arch, etc.)
- Directs and participates in tasks like flowers in vases, decorate aisle with vases and flowers, and adding additional loose decor
- Set up/Troubleshoot A/V (LED letters, neon signs, speaker for playlist)
- Energetically greets clients, introduces team, and guides client through what to expect in their reserved time
- Manages the recording of "Behind-the-scene" content on a phone to capture client's reaction and upload it to our drive
- Facilitates the "champagne pop" and client thank-yous' (good-byes, bouquet/gift bag)
- Directs and participates in the pack up of the decor and it's return to the company vehicle
- Ensures BTS is uploaded to company drive, end of service form is complete, and timesheets are accurate before clocking out.
- Maintains a tidy/professional workspace.
Skills & Qualifications:
- 1-2 years experience as an on-site event coordinator or in a similar/comparable role. (required)
- 1-2 years experience managing a team (required)
- 1-2 years experience successfully working in an autonomous or hybrid environment (required)
- 0.5 - 2 years experience taking video content on a phone (preferred, not required)
- Ability to record video content on your personal phone and upload to our drive. (required)
- Familiarity or previous experience using Ubeya (scheduling/booking app) (preferred, not required)
- Must be available to work nights and weekends - (our events happen throughout the week, but are heavily concentrated on Friday day/evening/nights and Saturday/Sunday days/evenings/nights.). (required)
- Ability to work commute to different locations throughout Manhattan and Brooklyn. (required)
- Ability to lift objects up to 40lbs (decorations/props). (required)
- Ability to set up decor with an eye for design and attention to detail (spacing, symmetry, etc.) (required)
- Ability to commit to a minimum 8 shifts per month (e.i 8, 3 hour proposals) for a minimum of 3 months, (but there is ample opportunity to work +20 shifts per month if you wish.) (required)
- Excellent organizational skills, including multitasking, time management, and meticulous attention to detail. (required)
