JOB TITLE: Senior Director, Lease Administration

JOB DESCRIPTION SUMMARY:
The Senior Director of Lease Administration is accountable for providing effective leadership of Lease Administration services to our clients and of the service delivery teams. The role entails managing and guiding an account management team responsible for the lease administration strategy of client service delivery, operational excellence, performance standards, onboarding new accounts, quality assurance protocols and governance for all operational teams.
PRINCIPLE DUTIES & RESPONSIBILITIES:
Leadership:
· Provide leadership for Lease Administration team including Account Managers, Lease Administrators, Project Managers, Lease Abstractors and third-party vendors.
· Coach, mentor and assist employees with customer service techniques to ensure team members demonstrate good customer service skills.
· Provide one-to-one assistance to employees when needed.
· Monitor and conduct quality reviews of employee's work.
· Participate in the interview/hiring process of candidates.
· Responsible for identifying performance issues, growth opportunities and handle the performance process of any direct reports.
Operations:
· Responsible for on-going service delivery, performance standards, productivity, and quality for Scribcor Lease Administration operations for assigned clients.
· Continually review and refine Scribcor's processes and procedures to ensure account management teams are properly servicing their clients.
· Consult with clients and serve as an escalation path for assigned clients for operational matters and for billing related matters.
· Responsible for adequately resourcing client engagements and ensuring back up support is determined, and expectations set.
· Coordinate and oversee training with new employees and internal transitions to new or existing clients.
· Responsible for new client onboarding process and execute the client onboarding for all new clients.
· Review team members time reporting and reconcile against PTO, to ensure client profitability and team members are working on the appropriate tasks.
· Provide guidance and support for Statement of Work (SOW) contract language.
· Ensure your team members are trained on the billing process and complete their billing responsibilities timely and accurately to align with contract.
· Responsible for first review of monthly billing cycle.
· Oversee any vendor and contractor invoices the Account Managers and Project Managers are using for their clients and ensure that managers understand how to review/approve.
· Ensure client forecast files are updated at least monthly.
· Assist the Account Manager with any profitability issues – research the root cause and devise a solution to ensure account profitability remains in tack.
· When needed, approve rent/expense related matters for clients.
· Assist and participate in any ad hoc operational projects needed and assigned by the CEO.
· Provide additional support and oversight for other business areas including Property Management, Abstractions, and Lease Audit.
· This role requires someone to work inside the office or remote.
· Travel up to 10% 20% may be required.
Business Development:
· Monitor industry trends and collect market intelligence on clients and competitors.
· Suggest and execute case studies when needed.
· Contribute to revenue growth, account expansions, renewals and new business pursuits and implementing new business models.
· Assist with business development tasks, responses to RFPs when requested by CEO.
· Continually look for areas and opportunities to improve and grow the overall business.
· Support Scribcor's attendance at industry specific conferences in such ways as presentations, attendance, case study, and speaking with potential clients.
EDUCATION AND EXPERIENCE QUALIFACTIONS:
· Bachelor's degree in business, real estate or a related field preferred
· Minimum of 10 years commercial real estate experience with an in-depth understanding of lease administration functions and services. Experience in property management or real estate accounting a plus.
· At least 5 years of experience leading and managing a lease administration team, including director-level positions.
· Experience managing profit margins for organizations operations or individual business units.
· Ensure client success is achieved.
· Understanding and comprehension of lease language related to operating and audit provisions.
· Prior experience with commercial leases and lease administration/lease accounting software helpful.
· Strong knowledge of lease accounting principles, and relevant legal and regulatory requirements.
· Proven ability to lead and develop high-performing teams.
· Analyze market trends and industry best practices to inform strategic decisions and improvements.
