We are looking for a responsible HR Assistant to join, support, and represent our HR team. The duties of the HR Assistant include providing support to our managers and employees, assisting with daily office needs, and managing our company’s general administrative activities. The ideal candidate should have excellent verbal and written communication skills and be able to organize their work using tools, like Microsoft Office Suite, HRIS, and office equipment. A successful HR Assistant should ensure our office's efficient and smooth day-to-day operation.
Schedule: Monday - Friday; Flexibility is required due to growing manufacturing plant. The ideal candidate must have availability to work weekends, holidays, and overtime depending on business needs.
Set Hours: 9:00 AM - 6:00PM with one hour lunch.
Responsibilities:
- Back up to the HR team
- Answer the front door, greet and guide all visitors
- Update and maintain office policies and procedures
- Answer and direct phone calls
- Write and distribute emails, correspondence memos, letters, faxes, and forms
- Manage office supplies inventory and research new deals and suppliers
- Maintain contact lists
- Maintain locker assignments
- Maintian data in preparation of regularly scheduled reports for management
- Assist in planning meetings and employee events
- Help coordinate all employee wellness activities
- Support payroll record keeping, communications, and filing (digital and physical).
- Assist in recruitment process by reviewing applications, phone screens, and scheduling interviews.
- Assist in the digitization and organization of HR records for easy access and retrieval.
- Maintain the integrity and confidentiality of HR files and records.
- Support onboarding and off-boarding process.
- Assist in the development and improvement of standardized hiring procedures.
- Maintain IT inventory, set up workstations, and prepare new hire equipment and supplies
- Employee Incident Report intakes.
- Arrange and track training sessions, certifications, and requirements for new hires.
- Perform other duties as assigned to support the HR department and organizational goals.
Qualifications:
- Experience, interest, or education in the Human Resources field preferred
- Bachelor's degree in a related area and/or equivalent experience/training experience/training preferred
- Bilingual (Spanish/English) preferred
- Typing speed of at least 45 wpm (without errors).
- 2 years of experience in customer service roles required
- Proficiency in MS Office Suite: Word, Excel, Outlook, and MS PowerPoint required
- Experience with payroll management systems such as Kronos/Ultipro preferred
- Excellent verbal and written communication, ability to write emails or other correspondence, and knowledge of business letter formatting.
- Must maintain ongoing confidentiality of sensitive information and data
- Emotional Intelligence when dealing with difficult employees or visitors
- Knowledge of office management systems and procedures
- Knowledge of human resources management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Excellent time management skills and the ability to prioritize work
- Attention to detail in data entry accuracy
- Strong organizational skills with the ability to multi-task
