Summary:
Under the direction of the Director of Information Security and Technology, the Student Information Systems Specialist performs a variety of specialized duties to assure the proper operation of assigned computer systems. Student Information Systems support includes but is not limited to, Student Information Systems (SIS), CALPADS databases, and other information systems. The position will provide training and assistance to system users concerning system operations, software applications, and malfunctions; as well as provide for the effective and efficient storage, retrieval, customization, and reporting of student data.
Essential Duties & Responsibilities:
Specific duties may vary depending on the needs of the department. The incumbent(s) typically perform a substantial portion or all of the following duties:
- Trains and provides support to all applicable District staff in all phases of entering/maintaining student enrollment into the SIS, including troubleshooting and documentation.
- Develops, maintains, and ensures compliance with internal control policies and procedures related to educational attendance record keeping.
- Works with the District data team in maintaining and analyzing student data across fiscal years, including beginning and year-end processes and procedures.
- Assists District schools in building new teacher files and courses for enrollment and staffing changes.
- Trains school office staff in Attendance procedures and Monthly Attendance accounting.
- Maintains a database of attendance-related files for each school site to ensure the accuracy of student attendance.
- Creates classes/sections for District sites as needed.
- Generates files used for Progress Reports and Report Cards. Updates grade files as needed for accurate grade histories for student transcripts.
- Enters into, and updates information in the system according to standard formats. Extracts data from existing databases and converts to other formats.
- Prepares attendance reports at the end of each attendance period. Sets up files and critical dates for internal, interim, and year-end attendance reporting. Regularly re-runs attendance reports when changes are made after an attendance period closes.
- Compiles and audits attendance documents for accuracy throughout the year. Provides attendance reports on demand for District and site administrators and independent auditors.
- Reports issues to software providers. Works with software vendors to resolve software issues.
- Maintains records and files of documents processed for ready access and compiles various reports according to well-defined operating procedures. Respects and assures privacy of information contained in student files.
- Compiles data for use by others in reports. Maintains and searches out information in departmental records and files.
- Provides administrative support to projects and special assignments that require getting information and cooperation from other departments and vendors.
- Assists in identifying more effective methods to improve everyday tasks.
- Performs other related duties as assigned that support the objective of the position.

- Principles, methods, and procedures of operating computers and peripheral equipment.

- Requires the ability to maintain accurate and retrievable files, records, audit trails, and trace information to original entries.

Education and Experience:
- High School diploma or GED.
- At least three years of professional Student Information Systems software or other professional database experience.
- Demonstrated experience in compliance, audit, and internal control procedures highly preferred.
Licenses and Certificates:
- Requires a valid driver’s license.

Salary and Terms of Service:
Salary range (2) $30.79 - $37.33 per hour, nine (9) steps, eight (8) hours per day and five (5) days per week (M-F), 12 months per year. Holidays, sick leave and vacation benefits. Prepaid family dental, medical, and vision insurance, prepaid life insurance plan for employee only.
