Architectural Building Arts is a premier design-build firm specializing in high-quality residential remodeling and historic renovations. We are currently seeking a Project Coordinator to join our dedicated team of professionals.
The Project Coordinator plays a key role in keeping our construction projects on track and running smoothly. This position provides essential support during the design and pre-construction phases. You’ll be responsible for developing material orders for approved designs and making sure they arrive on time to match our production schedules. This means working closely with the production team to decide where materials should be delivered and tracking their arrival and inspection by project managers. You'll also handle vendor payments, ensuring everything is processed correctly when an order is placed.
A big part of your job will be managing small job agreements by developing and pricing the scope of work, documenting existing conditions, and assessing important site conditions. You'll be responsible for creating a list of bidders, coordinating site reviews with trade partners, and providing all necessary details for accurate project pricing. You'll negotiate with trade partners and suppliers to get the best value for our clients, perform material take-offs, and verify project pricing with the production team before the internal review meeting.
In addition, you will be managing Additional Work Authorizations (AWAs). You'll support the project manager by providing pricing, ordering, and tracking materials throughout the project. You'll also troubleshoot any issues with schedules, material orders and cabinetry. Developing AWA requests for production approval and working with finance to provide timely, accurate AWA summaries for construction draws will be key to your role, ensuring all additional work is documented, priced, and executed efficiently.
This role requires strong organizational skills, effective communication, and a thorough understanding of project management practices and construction processes to ensure every project is completed efficiently and to a high standard.
The primary responsibilities of this position are:
- Materials procurement and management

- Small Jobs agreements and estimates
- Support with Design/Build Project agreements and estimates
- Project construction documentation and hand-off to Project Managers
- Trade partner and supplier management
Position Qualifications:
- Formal training/certification, a bachelor's or associate degree, or equivalent job experience in construction project coordination or management, or a related field.
- 2+ years of experience in pricing and/or contracting residential remodeling experience is preferred, with a strong background in specifying and ordering materials
- Working knowledge of estimating & costing for residential remodeling is preferred
- Solid understanding of construction methods and procedures with the ability to read and analyze plans to write clear and concise specifications
- Flexibility to support various aspects of the project lifecycle, from sales to project completion
- Excellent verbal and written communication skills to interact effectively with clients, team members and trade partners
- Exceptional organizational abilities to manage multiple tasks, schedules, and deadlines efficiently
- Attention to detail in developing and pricing scopes of work, tracking materials, and overseeing project documentation.
- Solid understanding of project management practices, including scope development, pricing, ordering, and tracking materials.
- Ability to work collaboratively with production teams, supporting estimation for larger projects, and ensuring schedules are on track
- Strong computer skills – experience working in word processing, spreadsheet and project management software. Experience in BuilderTrend or related construction management software is a plus
This position is full time, Mon-Fri and is in-person, with time spent in office and out in the field. Salary commensurate with qualifications and experience.
