Executive Assistant to the General Manager
Under general direction, uses independent discretion and judgment in overseeing the administrative operations of the Cobb County-Marietta Water Authority. Employee is responsible for relieving the General Manager of administrative details by composing correspondence, scheduling meetings and appointments, researching and responding to requests for information, and resolving problems and complaints. The employee supports the Water Authority Board by preparing materials for board and committee meetings and coordinating various meetings and reports. Emphasis of the work is on coordinating multiple functions, projects and Authority activities in a manner to ensure continued efficient and effective workflow. Work includes handling matters of a sensitive/confidential nature, and requires considerable interaction with outside agencies, administrative officials, and the public. Essential Duties and Responsibilities:
- Supports General Manager and serves as a liaison between the General Manager and outside contacts; attends meetings, coordinates meetings, prepares board and committee packages, researches various issues, provides administrative support.
- Performs computer-related tasks, requiring broad working knowledge of a wide variety of standard computer applications, e.g., word processors, database systems, spreadsheet programs, report presentation packages, calendar schedulers, electronic file maintenance, etc.
- Functions in a liaison capacity for the general manager in both inter- and intra- Authority communications.
- Coordinates with Cobb County Water System regarding WaterSmart water efficiency program.
- Supports Engineering, Operations and Hickory Log Creek Reservoir staff as needed (e.g., advertisement timing, placement).
- Manages and coordinates special projects ranging from scheduling aerial photos and EPD Water Loss Audit to reception planning and Business Continuity Plan updates.
- Attends Metro Water District meetings as necessary (e.g. Technical Coordinating Committee, Basin Advisory Councils).
- Supports CCMWA Board by preparing materials for board meetings, coordination of various meetings, preparation of minutes and reports, and other tasks as required.
- Responds to, and tracks FOIA requests. Provides assistance in compiling requested documents. Serves as Open Records Officer.
- Submits legal advertisements and notices to Marietta Daily Journal for publishing, and tracks conformance to legal requirements.
- Provides assistance to wholesale customers as necessary.
- Maintains Minute Books for CCMWA Board and Committees.
- Maintains Minute Book for Hickory Log Creek Board of Managers meetings.
- Maintains Standard Operating Procedures, (SOPs) for tasks of the position.
- Monitors CCMWA website and submits change requests (e.g., Board, staff) to IT department.
- Provides agendas, summaries, and minutes to IT department for posting on website.
- Monitors CCMWA web inquiries and responds or forwards to appropriate staff.

Minimum Qualifications Required:
- Associate’s degree in Business Management or a related field plus five years of administrative support or related office experience, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Advanced knowledge of established procedures, Authority guidelines, legal requirements, and regulatory standards applicable to the work;
- Knowledge of applicable County, State and Federal Laws, rules, regulations and ordinances;
- Knowledge of purchasing policies and guidelines;
- Knowledge of supervisory principles and basic principles of public administration;
- Skill in written use and application of required standards of business English, including proper grammar, spelling, diction, style, punctuation and format;
- Skill in researching, compiling, and summarizing data and information materials;
- Skill with computers, applicable software, and knowledge of budgeting principles;
- Ability to communicate effectively both verbally and in writing. Able to present information and respond to questions regarding functional area.
- Ability to establish and maintain effective working relationships and communications with co-workers, internal/external customers, management team, Board members, and the public;
- Ability to organize work, establish priorities, meet established deadlines, and follow-up on assignments with a minimum of direction.

Executive Assistant to the General Manager Hiring Range: $85,486 - $132,504 annually
