Events & Engagement Coordinator Job Description
Prospect Ridge Academy, a public charter school in Adams 12 Five Star District is seeking a responsive, detail-oriented, outgoing event and engagement coordinator to support the school's community development efforts for the school with current and prospective families, community members and business partners. Under the Communication and Engagement Manager's general supervision, the Events & Engagement Coordinator is a reliable event planner who can lead volunteers and coordinate events on and off campus. The position requires attention to detail, excellent customer service, and project management. Professionalism, problem solving, flexibility and time management are essential to the success of this position.
The Events & Engagement Coordinator at PRA will:
Community Engagement:
- Schedules service opportunities for the PRA community with local partners and fulfill the partnership requirements.
- Participates and staff leads the F.A.S.T (Family Activity and Service Team) events including but not limited to first of the year BINGO event, philanthropy coffee, and staff appreciation lunches.
- Actively participates in building relationships within the community PRA serves.
School-wide Event Coordination:
- Plans, secures volunteers and set-ups new prospective and new family events including but not limited to student shadow days, new family events, coffee & conversation events, open houses, and information sessions.
- Help PRA produce meaningful engagement events, find internal and community partners to build community and fundraise for the school.
- Coordinates major K12 events such as the Check-In Fair, open enrollment sessions, bi-annual Parent/Teacher Conferences, the annual gala, Miner Gold Rush, continuation and graduation.
- Assists onsite with special events and projects, which can occur during evenings and on weekends. Flex schedule available.
Event Logistics:
- Coordinates the logistics of K12 events include, but are not limited to, building a project timeline (Asana), scheduling meetings, ordering staff food and facilitating the purchase of event materials.
- Serves as the project manager for school events. Communicate quickly, professionally and effectively when issues arise.
- Creates event, activity and communication requests and assists with communications and/or marketing projects as needed.
- Supports and project manages the student photos including working directly with our photo vendor to secure annual dates, developing activity requests to secure locations, communicating internally to staff, signing in volunteers, and escorting students to their locations.
- Purchases PRA branded items as needed.
Volunteer Coordination:
- Work with the Office Coordinator to ensure that all volunteers are eligible and are trained annually prior to participation.
- Follow-up with volunteers who need to complete required training.
- Welcome the volunteers for events, field trips and activities and check them in upon arrival.
May include additional duties as assigned.
Requirements:
- A Bachelor’s degree in a related field
- A minimum of two (2) years of experience in communications and/or event management.
Preferred:
- Master's degree in a related field
- Experience in a K12 school setting
- Experience with software tools such as Asana, Bloomerang, Givesmart, Raptor and Runsignup

Physical Requirements:
Primarily sedentary work at a computer in an office; however, some duties are performed throughout the school and indoor and outdoor event locations with minimal supervision and in adverse weather conditions. The position requires lifting up to 40 pounds, standing for long periods, walking long distances, and the physical ability to set up tents, tables, and various event equipment. This employee will occasionally need to utilize their vehicle to attend meetings, run errands, participate in off-site events, and transport equipment and supplies.

Working Conditions:
Work is regularly performed inside and outside with occasional exposure to extreme temperatures. Work is performed in all weather conditions and includes moderate and loud noise exposure. This highly public position provides contact with students, staff, administrators, Board of Directors, and parents. Occasionally work may consist of ten (10) plus hour days with weekend work.

- EAP - Employee Assistance Program is provided by Lincoln Financial.
- PAL - Paid Annual Leave beginning immediately following the first day of work (FTE 1.0 = 10 days / 0.8 = 8 days/ 0.5 = 5 days etc.)
- Paid Holidays include - 11 paid Holidays for 10-month Employees (please refer to Employee Handbook for these 11 days) and 15 paid Holidays for 12-month Employees (please refer to Employee Handbook for these 15 days.
For Employees working < 0.75 FTE, benefits will include:

Hiring Range - $38,900 - $43,763
