Position Overview: We are seeking a highly organized and communicative Administrative Assistant who can also assist in supporting our IT Project Management team. The ideal candidate will have experience with Microsoft Office and HubSpot, and possess excellent organizational and communication skills to help streamline project workflows and ensure efficient operations.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative assistance to the IT Project Management team, including scheduling meetings, preparing agendas, taking minutes, and maintaining project documentation.
- Communication: Act as a point of contact between project managers, clients, and internal teams. Facilitate clear and effective communication to ensure project updates are accurately conveyed.
- Project Coordination: Assist in the coordination and management of IT projects by tracking progress, updating project plans, and ensuring deadlines are met. Clearly communicating status updates with all stakeholders.
- Data Management: Maintain and organize project files, databases, and records in both Microsoft Office and HubSpot.
- Reporting: Generate and distribute project status reports, metrics, and other relevant documentation to stakeholders.
- Client Interaction: Support client communication efforts by responding to inquiries, scheduling calls, and ensuring client satisfaction throughout the project lifecycle.
- Office Management: Perform general office duties, including managing office supplies, coordinating travel arrangements, and handling correspondence.
