Job purpose and objectives:
We are seeking an energetic and detail-oriented Administrative and Client Services Associate with a passion for fitness, longevity and wellness to join our dynamic team. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, a strong customer service and sales orientation, and have a deep interest in the latest health and wellness trends. You will split your time between NYC Performance Lab and Recalibrate Physical Therapy with whom we share a space, where you will serve as practice manager, running day to day client service and administrative operations.
Responsibilities:
NYC Performance Lab
- Client Relations & Communications: Serve as the first point of contact for clients, thoughtfully answering calls and emails, providing best in class customer service, addressing inquiries, and resolving issues promptly.
- Upselling and Membership Renewal: Proactively identify opportunities to upsell services and products to clients, and manage the renewal process for client memberships, ensuring high retention rates and customer satisfaction.
- Data Management: Maintain and update client records, sales data, waivers, and other important documents.
- Product Knowledge: Stay informed about our services and products, including the latest research in longevity and health optimization, to effectively communicate benefits to clients.
Recalibrate Physical Therapy
- Practice Management: Oversee administrative operations for Recalibrate Physical Therapy and other onsite clinicians, ensuring efficient scheduling, billing, and coordination of patient care with insurance companies, referring physicians, and others.
- Relationship Management and Networking: Develop and maintain strong relationships with clients, healthcare professionals, and community organizations to enhance the practice's network, foster referrals, and promote collaborative opportunities.
- Office Management: Oversee day-to-day office operations, ensuring a smooth and efficient workflow.
- Personal Administrative Support: Provide dedicated administrative assistance to the physical therapist, including managing his schedule, coordinating personal appointments, and handling correspondence and task managementto ensure their day-to-day activities run smoothly.
Key qualifications:
Experience: At least 2 years of administrative experience, sales support, or customer service preferably in a health or wellness setting.
Skills:
- Enthusiasm for client relationship management and providing excellent customer service.
- Excited (rather than intimidated) by the idea of selling services to clients and helping the business achieve its growth targets and with the idea of earning more based on your success in this area.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills; comfortable working with high-net-worth and high-profile clients who expect an elevated level of service and communication.
- Proficient in Google Workspace, Microsoft Office, and other modern software; open to working with other technologies like ChatGPT, online scheduling and client management software, etc.
- Hungry to learn, grow, and to build a career at the nexus of technology, fitness, and medicine
- Ability to work independently and as part of a team.

Work Environment: This is an onsite position based at our New York City Performance Lab facility. Remote work is not available for this role.
Job Type: Contract to Full Time
Salary: $25-40/hr (dependent on experience) plus significant performance-based bonuses for an initial “ramp up” period, with the goal to evolve into a full-time salaried position with full company benefits, perks, and stock options
Schedule: Monday - Friday 9am - 5pm
