Looking for someone to ensure that everything is running efficiently in the office. You’ll be answering calls, greeting guests, planning travel, scheduling appointments, and essentially taking care of the day-to-day. You’ll pull together reports and presentations, or you might plan an event or an office move. Your role is essential to building an environment where everyone can do their best work. Providing office support for the local team. Scheduling and arranging meetings and appointments. Answering calls and greeting visitors. Preparing reports, presentations, proposals, and correspondence. Process and maintain expenses for the Executive. Onboarding new administrative team members. Finding new ways to increase office efficiency and innovative ways to support the team. Ability to anticipate needs and proactively bring together appropriate people and resources to support the executive in addressing issues. Handle confidential information in a professional and discreet manner. Ensure that various administrative tasks are done in an effective and efficient manner, including copying, reviewing outside mail, drafting correspondence, screening phone calls when requested, and maintaining executive files as needed. Act as the Executive’s representative and ambassador to external constituents as directed. In addition to managing the calendar of the executive, you will also be the local representative when leadership is not in the office or on business travel. Some examples of specific responsibilities will include: Assisting with Employee onboarding, concession device management, and working with the helpdesk for laptop procurement and configuration. Managing contractor onboarding including badge requests and building access. Assisting location leaders in the Irving Hub with events to encourage employee engagement. Coordinating logistics for partner meetings, meet visiting executives at the front desk and escort visitors from the security checkpoints to meeting rooms. Reserving conference rooms and setting up in-building wi-fi access for face/face meetings. Working with facilities and global real estate to resolve any issues with meeting room logistics including audio/video support for team meetings and town halls. You are ready to lend a hand to others—and happy to do what it takes to support the team. You’ll need to have: A Bachelor’s degree or one or more years of work experience. Even better if you have one or more of the following: Demonstrated ability to stay organized and meet deadlines. Ability to stay focused, efficient, and effective in managing multiple priorities. Supported a team for their administrative needs. Experience in the following software programs: (G-Suite) Strong interpersonal skills and good judgment. Ability to effectively collaborate with internal team, cross-functional team, and external parties in a dynamic, challenging environment . Ability to work independently to achieve accomplishments. Ability to communicate effectively with all levels of employees and outside contacts.
