Summary: We are seeking a highly organized and detail-oriented Personal Assistant to support our CEO. The ideal candidate will be responsible for managing communications, planning events, and providing both personal and administrative support. This role requires someone who can handle a variety of tasks with efficiency and professionalism, ensuring the smooth operation of both personal and professional aspects of the CEO's life.
Duties
Communication
- Manage email inbox, prioritize messages, draft responses, ensure timely replies and follow ups.
- Schedule appointments, manage multiple calendars, maintain an events calendar, send reminders, prepare materials for meetings.
- Draft and manage LinkedIn communication, including posts and responses.
Planning
- Support both personal and professional event planning and execution.
- Liaise with vendors and service providers for event planning and household needs.
- Assist with routine personal tasks and errands such as grocery shopping, picking up dry cleaning, and purchasing gifts.
- Book flights, hotels, and rental cars; prepare travel itineraries for both personal and business events.
Support
- Manage and maintain the executive's schedule, including arranging appointments and meetings.
- Perform general administrative tasks such as email and phone communications and data entry.
- Conduct research and assist with special projects, tasks, and events as needed.
- Make approved purchases on behalf of the CEO.
- Maintain confidentiality.
Anticipate Needs
- Monitor the CEO's schedule and upcoming commitments to foresee potential needs, ensuring that all necessary preparations and arrangements are made in advance.
- Maintain a thorough understanding of the CEO's preferences and routines to provide tailored support, including personal and professional tasks.
- Be prepared to offer immediate assistance as required, responding swiftly to any emerging needs or changes in plans.
Qualifications
- A bachelor's degree in communications, business, marketing, or a related field.
- Experience in LinkedIn and Professional Social Media
- 1-2 years of experience as a personal assistant preferred.
- Previous experience in an administrative role is preferred.
- Strong attention to detail and organizational skills.
- Quickbooks knowledge is a plus
- Excellent written and verbal communication skills.
- Exceptional interpersonal skills.
- Proficiency Gmail, Google Calendar, and Microsoft Office (Word, Excel, PowerPoint).
- Strong computer literacy with the ability to quickly learn new software programs.
- Excellent phone etiquette and customer service skills.
- Ability to prioritize tasks effectively.
- Accuracy in all work performed.
- Ability to maintain confidentiality of sensitive information.
Some experience using AI tools is a plus.
Additional Details:
Expected Hours: In home availability expected hours: 10am-6pm, After hours call/messaging: cut off 10pm
Starting Salary: $25/hr for Weekdays, $30/hr Weekend Premium
