Summary:
Coordinate planning, customer service, process management, programmatic resource development, and external communications to enhance existing AQHF grant programs, explore new initiatives, and coordinate communications and resources available to member applicants and recipients.
Responsibilities:
- Coordinate acceptance processes of applications for all Foundation grant programs.
- Participate in assessment and implementation of software.
- Coordinate payables for grant programs, including notifications, reminders, data entry, coding invoices, obtaining approvals, and tracking status of grant distributions and reports.
- Coordinate records maintenance protocols for all grant programs.
- Coordinate correspondence related to grant inquiries, award notifications, and reporting.
- Prepare timely, complete reports and other documentation for grant program accountability to governance and donors.
- Support the evaluation, development, planning, and implementation of all Foundation grant programs, projects, and initiatives.
- Facilitate meetings and presentations for grant programs engagement.
- Provide support for committee, subcommittee, and taskforce activities including development of meeting support materials, scheduling meetings, and taking notes.
- Monitor grantmaking budgets to reconcile distributions.
- Provide support for departmental annual budgeting processes.
- Coordinate execution of Foundation marketing activities for all grant programs.
- Distribute programmatic and educational resources to members, donors, committees, applicants, and grant recipients.
- Assist as needed for museum events including infrequent weekends, evenings, and other non-regular hours as scheduled.
- Perform other duties as assigned.
Education Requirements:
Bachelor’s degree or equivalent experience.
Specific Knowledge:
- Effective and skilled communicator with both written and verbal communication skills.
- Problem-solving with solid deductive reasoning skills.
- Strong team player with a drive to help others.
- Outreach and relationship building skills through volunteer coordination or communications is preferred but not required.
IT/Technical Knowledge:
Proficient in Microsoft Office Suite.
Customer relations management experience preferred.
Minimum Experience Required:
Experience working with higher education grant or scholarship management is preferred.
