Duties
- Plan, coordinate and implement resident programs, classes, and community-wide events.
- Solicits input and involvement from residents to further stimulate participation.
- Assists members and groups, clubs, and community organizations in the scheduling of association facilities, collecting applicable fees and ticket sales and ensuring events meet all legal and association requirements.
- Oversees the operation of all recreational and fitness activities as applicable to ensure adequate staffing, merchandise promotion, asset control, and related documentation and proper maintenance.
- Work with residents to assist in the establishment of groups and clubs.
- Provide assistance in charter processes, assignment of facility space, development and promotion of programs, file management, and act as general overseer of these activities.
- Establish and maintain an active volunteer program among residents, providing for both promotion and recognition
- Develop promotional programs to encourage involvement and participation in fitness programs and other services.
- Vet, hire and supervise independent contractors for various fitness, entertainment, and recreation programs.
- Design fliers, promotional materials, and tickets for events, classes, and group activities.
- Coordinate with business partners.
- As part of operations, work to ensure proper revenue is received and reported to coincide with vendor payments for all events, classes and other programming.
- Ensure all events and programming support revenue goals of Association and Finance Committee.
- Develop, track, and report on metrics about event attendance, cost, and feedback to determine success and to provide continuous improvement for the wellbeing of the community.
- Keep records of current and prior years activities in an organized filing system for the Board of Directors to review when requested.
- Maintain an organized calendar with multiple room s to accommodate various groups/clubs/events/Board Meetings on multiple platforms.
- Create and give guidance on room layouts for different functions.
- Arrange travel and events to off-site trips.
- Prepare a monthly Newsletter to showcase all of the exciting events at the community.
- Hands-on approach for many events including server duties, assisting with setup and cleanup with details such as décor, catering, entertainment, etc.
- Ensure compliance with insurance, legal, health and safety obligations during functions.
- Coordinate with internal staff, clients, external vendors and volunteers to establish needs and requirements for each event throughout the planning process.
- Develop and implement organizational and scheduling methods to ensure all duties and projects are managed and completed in a timely, prioritized fashion in coordination with the Operations
- Serve as administrative support at the discretion of the general manager when not specifically working on other duties
Requirements
- Experience in written and verbal communication
- Experience in event planning for large groups
- Highly motivated with attention to detail/outgoing personality
- Demonstrated, robust, and positive customer service acuity including timely response to issues, requests, and inquiries
- Proficient user software skills including the use of common office software including but not limited to word processing, electronic mail, and spreadsheets
- Excellent user skills in common forms of electronic media such and social media and the ability to learn HOA data systems and platforms (such as Active Net)
- Ability to practice fundamental accounting principles (tracking and written reporting on budget, revenue collections, and expenditures for events)
- Ability to work during scheduled events which will include working some evenings, weekends, and holidays/flexible scheduling
