Position: Medical Patient Services/Receptionist
Report to: Medical Clinic Manager
JOB SUMMARY
Our thriving Family Medical Practice needs an experienced Receptionist who can take over the administrative duties involved with coordinating patient and physician schedules as well as bookkeeping, file management, functions as primary front office greeter, maintaining activities of cashier, special programs qualification, insurance verification, filing, telephone communication, credit and collection, and office organization. We’re looking for a professional who believes that patients should be treated as people rather than numbers in a file, and who understands the value of compassionate service. The job includes significant amounts of multi-tasking, but the ideal candidate will know when to slow down, look patients in the eye and provide personalized service. There are a few advancement opportunities for the successful applicant.
- Role and Responsibilities
- Greet patients upon arrival, sign them in, and obtain insurance information and any other necessary data
- The front desk will establish rapport with individual patients and initiate a pathway that ensures that patients' preferences and needs are addressed by applying the patient-centered care model.
- Schedule appointments for new and recurring patients based on Physician and PA/NP availability
- Take Telephone Messages and Provide Feedback and Answers to Patient/Physician/Provider/Pharmacy Calls
- Process Telephone Messages from Patients to Physicians/Provider
- Assures all patient registration data is collected and entered accurately and timely to complete the patient check-in process; including necessary demographic information, past medical history, and insurance policy information
- Verifies benefit and insurance eligibility for assigned client location(s) for same day, next day, and prior visits (when necessary), in real-time
- Screens/Enrolls individuals to participate in programs (SFS/PHC/Title V) and notify them of their acceptance and updates insurance information accurately
- Completes necessary patient PCP change notifications, follow-up, and record keeping
- Perform all functions with the highest level of competency, efficiency, and extreme customer service skills; demonstrate understanding and consistent application of all client services and promotional programs
- Participate in departmental meetings
- Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations
- Comforts patients by anticipating patients' anxieties; answering patients' questions; maintaining the reception area.
- Ensures availability of treatment information by filing and retrieving patient records.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies
- Provide patients with intake and new patient forms as well as copies of our office policies and legally required documents
- Process payments from patients for co-pays and uninsured visits and records receipts for services
- Performs adjustments for PHC/Title V/SFS (write-offs)
- Transmit information, using computer, mail, or facsimile machine
- Provide information about the establishment such as location or services provided
- Collect, sort, distribute and prepare mail, messages, and courier deliveries.
- Performs other duties and special projects as requested
Arrival Time: 7:50 am

QUALIFICATIONS AND EDUCATION REQUIREMENTS
High School Diploma or General Education Degree (GED)
Must be vaccinated against Covid-19.
PREFERRED SKILLS
Exceptional Customer Service and Phone Etiquette
Knowledge of EMRs (preferred)
Good computer skills required
