Event Production Manager
CP Fine Catering and GT4 Events is an upscale, Multi-Brand South Bay Catering Company that has clients throughout Silicon Valley. We are looking for a qualified and enthusiastic Sales Coordinator to join our team!
Job Summary:
Event Production Manager work directly with the Sales Team assigned to them but reports to Director of Sales. Maintain communication with clients once the file has been confirmed by the Sales Manager. Daily management of event details, setting up and attending tastings and site visits, ensuring payments are received and posted, securing outside vendors and rentals, attending and overseeing events when necessary, and keeping all involved staff, management, and the kitchen informed and up to date throughout the process.
Responsibilities include:
o Meet deadlines, and targets assigned to you by your Sales Manager
o Proper site visit evaluation to secure answers pertaining to water, power, kitchen, shelter, parking, bussing, kitchen access etc.
o Maintaining open communication with the sales department, kitchen, service staff, and warehouse crew as well as with senior management
o Attend and supervise events as needed, serve as liaisons between client, vendors, onsite team
o Create event layouts and diagrams and timelines when required
o Attend weekly meetings with the Sales Managers you support to review event details
o Place all rental orders for specialty items and coordinate with outside vendors, research included
o Place permit applications when needed for liquor license
o 10 days out carefully review proposal details ensuring all line items are accurate and reflective of event needs PRIOR to distributing proposals for production and warehouse
o Ensure outside rentals are received and checked in and distributed. Make sure all teams have copies of outside rental orders
o 24-48 hours prior to event Communicate event details to scheduled event captain or manager
o Upload any relevant photos, rental orders, agendas and floorplans into TripleSeat
o Follow Up Thank You after EVERY event
o Mockups/Sample Orders for clients including prior research for look and feel
· Attending client tastings and venue site visits
· Working and maintaining relationships with outside vendors
· Handling concerns, and service issues with confidence and dignity; focused on finding solutions and resolving issues quickly
· Working with Staffing Coordinator to ensure the right team is assigned to the events you are producing and that all staff needs have been confirmed
· When needed support of admin duties such as menu printing, captains books, labels and timesheets
Qualifications and Skills Needed: 1-3 years of sales management experience (preferred in catering) Demonstrated ability to achieve sales goals
- A thorough knowledge of practices and procedures of the catering, food and beverage, and hospitality professions
- Passionate about high quality food and exceptional service
- Ability to organize and manage multiple priorities and responsibilities
- Ability to maintain professional composure under pressure
- Knowledge of various cultural social events, and ability to work with a culturally diverse population
- Excellent oral and written communication skills
- Proficiency in Microsoft Office Programs
- Knowledge of TripleSeat event management software a plus

Pay: $58,000.00 - $65,000.00 per year
