Position Overview:
The Accounting Manager is responsible for overseeing the accounting department's daily operations, managing recurring tasks, tracking key performance indicators (KPIs), and ensuring high levels of client responsiveness and deadline adherence. This role requires effective leadership, the ability to grow and manage the department, customer service and regular reporting to the CEO.
Key Responsibilities:
Accountability:
- Growth and Management:
- Demonstrate the ability to grow and effectively manage the accounting department.
- Recurring Task Management:
- Ensure all recurring tasks are entered by the end of each month.
- Tasks must be recurring, have deadlines, budgeted time, and be assigned to a staff person.
- Start recording videos or documenting text on specific processes.
- KPI Identification and Tracking:
- Identify KPIs to track (refer to the KPI tab for details).
- Complete the KPI spreadsheet each week using system reports.
Management Meeting (Weekly) - Reporting to CEO:
- Client Responsiveness:
- Ensure 90% of client queries are answered within 1 business day .
- Deadline Management:
- Ensure 98% of deadlines are met by staff (tracked via ClickUp).
- Onboarding Pipeline:
- Oversee client onboarding processes to ensure timely onboarding
- Account Management (Identify additional needs or services)
- Customer Service Mentality
Staff Supervision (Monthly with Each Staff) - Managers Conducting Research with Staff:
- Profitability Standards:
- Monitor the average realized hourly rate by client to ensure profitability standards are met.
- Client Responsiveness:
- Ensure 90% of client queries are answered within 1 business day (monthly report from Helpscout).
- Deadline Management:
- Ensure 98% of deadlines are met by staff (monthly review via ClickUp).
Management Meeting (Monthly) - Reporting to CEO:
- Profitability Standards:
- Monitor the average realized hourly rate by client to ensure profitability standards are met.
- Client Retention:
- Monitor and report on client retention rates.
- Monthly Close:
- Ensure monthly close reports are completed and distributed by the 16th of each month (target date: 10th).
- Helpscout Response:
- Monitor and report on Helpscout response times to ensure client queries are handled promptly.
Qualifications:
- Bachelor's degree in Accounting, Finance, or a related field.
- Certified Public Accountant (CPA) designation is preferred.
- Minimum of 5 years (preferred) of experience in accounting or finance, with at least 2 years in a supervisory role.
- Nonprofit experience
- Strong knowledge of accounting principles and practices.
- Proficiency with accounting software and tools (e.g., QuickBooks, ClickUp, Helpscout).
- Excellent organizational, analytical, and problem-solving skills.
- Strong communication and interpersonal skills.

- Strong leadership skills and the ability to mentor and develop staff.
- Ability to work West Coast hours.
