The Fleet Services Program Lead is part of the Reliability and Cost Team within the Reliability Section of the Midstream Maintenance Organization. The role develops, supports, coordinates, maintains and manages the many aspects of the Midstream fleet program. Strong communication skills, collaboration, technical competence and customer service are a must for this position.
Responsibilities May Include:
Partnering with Fleet Management Company to assign vehicles, manage commuting rights, acquire and dispose of vehicles and maintain accurate inventories of drivers, vehicles, equipment and titles
Controlling costs by right-sizing the fleet to meet business needs, reallocating vehicles where possible and recognizing and taking action when vehicle maintenance costs exceed vehicle replacement costs
Working with the Fleet Management Company to develop standardization by job role to increase consistency across the organization
Initiating, monitoring and recommending adjustments to the Midstream fleet policy to maximize efficiency and profitability, ideally reducing liability exposure while adhering to the fleet industry best practices. This includes vehicle acquisition, maintenance and remarketing as determined by cost effective life cycle analysis.
Working with appropriate Finance functions including Accounting, Treasury and Capital to ensure all fleet related expenditures are handled properly
Forecasting future vehicle replacement needs in order to secure funding for large bulk fleet orders that are placed at the beginning of each year
Standardizing Geotab (in-cab monitoring device) structure to align to a single system (for vehicles brought in to the company through acquisitions)
Achieving efficiency by standardizing Geotab into a single database, aligning reporting and clearly defining processes from access to installation and from utilization to reporting
Working with Information Technology, Health and Safety Data Reporting and Analytics team to set up Element Xcelerate (driver data / cost data) and Geotab API (direct access to total cost)
Other responsibilities include, but are not limited to:
Working with the Fleet Management Company to create visibility tool and dashboards for Supervisors and key stakeholders to improve access to information such as vehicle order status and other critical items
Aligning reporting for vehicles and employees joining the company through mergers and acquisitions
Developing and rolling out a Toll Management Program
Developing and implementing a vehicle cost management program
Routing documents received by mail or email, such as toll violations and recalls, to the correct recipients
Coding checks for accurate financial processing
Conducting quarterly inventory report reviews (QA/QC)
Recording disposal requests
Ensuring proper field coverage by pairing areas with Fleet Coordinators
Acting as the Midstream escalation contact for fleet matters
Coordinating acquisitions and divestitures by identifying which fleet units go with the buyer
Assisting with HR, Legal and Claims requests or investigations related to fleet vehicle incidents
Required Qualifications:
Legally authorized to work in the job posting country
Associate's Degree or equivalent
Demonstrated experience maintaining programs, manuals and metrics
Intermediate level of proficiency with Word, Excel, SharePoint, PowerPoint, Teams and Outlook
Experience with budgets and forecasting
Strong written/verbal communication skills and ability to communicate across all levels of the organization
Preferred Qualifications:
Fleet management experience
Experience managing data and building and maintaining dashboards
Financial acumen
Strong analytical skills
