Overview:
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to our Human Resources & Safety Department as well as potentially providing additional support in other departments to ensure the efficient operation of our office. An ability to multitask, manage complex schedules and meet changing deadlines is essential to the position.
Responsibilities:
- Managing & answering incoming calls with professionalism and courtesy.
- Assist in organizing and scheduling appointments, meetings, and events.
- Perform general administrative tasks such as filing, data entry, and maintaining office supplies.
- Provide personal assistant support to executives as needed. Including but not limited to email correspondence, generation and distribution of memos, letters, spreadsheets, legal documents, forms & faxes.
- Utilize computerized systems for data entry, record keeping, and scheduling.
- Write/Create emails, letters, documents and social media posts in a professional manner using proper spelling and grammer.
- Handle customer/employee inquiries and provide excellent customer service.
- Support the office by creating & maintaining filling systems, contact database, employee lists & inventories. Both electronic & physical.
- Operate phone systems effectively with proper phone etiquette.
Experience:
- Proven experience in administrative roles or related fields.
- Strong written language skills.
- Familiarity with customer support practices and procedures.
- Organizational skills: The ability to maintain order helps to ensure administration does not miss appointments or deadlines.
- Strong computer skills and proficiency in Microsoft Office Suite.
- Excellent communication skills and ability to interact professionally with customers and staff members.
