Job Description:
The Agent Contracting Specialist will be responsible for maintaining the licensing process for CICA Life of America Insurance Company a Citizens Company. This position is responsible for performing all pre-hire licensing activities for new agents, changes to agent records, and post-hire licensing activities for active agents. This position will have access to sensitive employee information that must remain confidential. This job is performed in Austin, Tx at Citizens Inc. home office. The Agent Contracting Specialist reports directly to the Commissions Accounting Manager.
Essential Job Duties:
· Performs all new hire licensing activities, including ensuring independent agents are properly licensed and appointed and credentialed per CICA guidelines. This includes routine notifications to the appropriate department related to the status of licenses.
· Maintain all licensing records to ensure all agent licenses and appointments are in good standing with the Department of Insurance. This also includes annual appointment renewals.
· Review all appointees to verify that they are active agents, and their appointment needs to be renewed. As invoices are available on NIPR website or received via email, print and send them to AP for payment processing.
· Process all company appointment cancellations for terminated agents.
· Monitor appointments for existing and new hires to determine if they are appointed with any other companies.
· Review and approve System Software billing for appointments and appointment cancellations processed via Sircon. Create cover sheet for AP with appropriate coding for each company.
· Input CICA Life of America agents new hire records and transfers into the company’s AL08 system.
· Monitor the Citizens App spreadsheet for all agents and request new information once expired. Update spreadsheet monthly.
· Maintains any hierarchy structure change or policy trailer records.
· Update banking information, address change for agents or frequency of commission payment.
· Respond to agency or agent emails in a timely manner.
· Provide weekly metrics related to all licensing activities.
· Performs other duties and projects as assigned by the Commission Accounting Manager.
· Serve as a back-up and is responsible for the administration of commissions, processing commissions and other variable compensation.
· Preform any other duties as assigned .
Minimum Qualifications:
· High school diploma or GED.
· Two to three years’ experience in insurance.
· Strongly Prefer Bilingual (English & Spanish).
Knowledge, Skills, and Abilities:
· Knowledge of Department of Insurance licensing and assignment process.
· Ability to understand and maintain large volumes of agent records with precision.
· Ability to maintain confidentiality of sensitive information.
· Knowledge of Word, PowerPoint and Excel.
· Knowledge of insurance information systems, with knowledge of Oracle Cloud preferred.
· Excellent communication skills both verbally and in writing.
· Ability to process many agent documents with precision and accuracy.
· Proven analytical, evaluative, and problem-solving abilities.
· Ability to effectively prioritize and execute tasks.
· Experience working in a team-oriented, collaborative environment.
· Ability to remain professional at all times when dealing with co-workers.
Miscellaneous Requirements:
This position may require occasional overtime.
Work Environment
The work environment is primarily indoors with heating and cooling regulated in a general office environment. The noise level in the work environment is generally low.

Ability to reach high and low; open, close and retrieve files from file cabinets as well as operate computer keyboard and appropriate office equipment. The position requires the ability to frequently stand, walk, sit for long periods of time, lift up to 20 lbs., open filing cabinets and bend or stand on a stool as necessary.
