Directly supervises a team of full time, part time and non-exempt employees and volunteers. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; reviewing and approving timesheets; appraising performance; rewarding and disciplining employees; monitoring and updating all required staff certifications; addressing complaints and resolving problems.
SPECIFIC DUTIES

Responsible for supporting the mission of YMCA of Greater Houston and the clients served by building a sustained network of volunteers and in kind donor support.

Responsible for the organization, delivery, quality and outcomes of volunteer / in kind activities.

Works independently under general direction and is expected to determine how to accomplish tasks.

Reports suspicious and inappropriate behaviors and policy violations.
-
Follows mandated abuse and incident reporting requirements.

Meets timelines and deadlines related to supporting systems and employee compliance. Example includes but are not limited to Kronos Workforce Ready for review and approval of time sheets.

Other duties as assigned including rotating schedule for food pantry and airport pickup.
Volunteers
-
Supervises the Volunteer General Office Clerk
-
Recruiting, screening, interviewing and training of new volunteers
-
Identifying and scheduling volunteer activities that meet the needs of the various programs and engage them in meaningful volunteer service

Planning and implementing annual formal and informal volunteer recognition activities
-
Identifies alternatives to cover vacancies in key stations when volunteers do not show up or are unavailable

Meets regularly with Program Directors to review and assess volunteer needs
In-Kind Donations

Supervises the In-Kind General Office Clerk
-
Ensures the Client Warehouse is organized and cleanliness is maintained on a daily basis

Maintains records of pertinent information and prepares and submits monthly reports following established procedures

Creates and distributes Client Warehouse usage and access protocols
-
Researches and cultivates relationships with individual and corporate donors and community agencies for the solicitation of in-kind goods
-
Communicates with potential donors regarding items to be donated
-
Exercises discretion regarding acceptance and/or disposition of donated goods and maintains donor relationship through attentive customer service
-
Oversees completion of donation paperwork for donors, agency and/or client files
-
Works with program directors/case managers to ensure clients receive needed donations
-
Facilitates logistics related to delivery of extra donations to other shelter sites or agencies
-
Meets regularly with Program Directors to review and assess donation needs
Warehouse & Food Pantry

Supervises the Warehouse Attendant(s)

Ensures the Client Warehouse is staffed appropriately at all times

Engages Houston Food Bank and maintains food pantry compliance
-
Creates weekly food pantry schedules for staff rotations at least one month in advance

Oversees food pantry on site security and directs their activities on food distribution days and processing of monthly invoice
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
Bachelor's degree from four-year college or university in related field or equivalent years of experience. One to three years related experience preferred.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Proficiency in additional refugee language is preferred.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
