POSITION SUMMARY
The Coordinator - Unit position will support Goodwill Industries of San Antonio in providing complex administration, coordination, and operational support to the Workforce Development unit and its management team.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Upholds and models Goodwill's mission, core values, and servant leadership philosophy.

Provides executive-level support to the Vice President of Workforce Development, Leadership team, and Programs. Support includes but is not limited to management of special projects, phone calls, correspondence, emails, PowerPoint presentations, coordinating the scheduling/re-scheduling and canceling of meetings, coordinating all travel and hotel reservations and arrangements, coordinating arrangements for postage and delivery on required documents, coordinating of registration of team members and leadership for conferences, attending meetings as needed in the absence of a member of the leadership team, and recording meeting minutes.
- Serves as Confidential Assistant to the Vice President of Workforce Development and Leadership Team, types, proofreads, and processes a wide variety of complex and confidential reports, letters, and memorandums, and independently prepares correspondence as requested. Types from rough draft or verbal instructions; takes and transcribes dictation; assists the Vice President of Workforce Development in maintaining effective communication with the Leadership team and workforce staff.

Provides support to the President’s executive assistant and other departments as needed. This includes coordinating meetings between leadership, developing and submitting PowerPoint presentations, reports, and agendas, and filling in as backup for the Executive Assistant as needed.

Coordinates with other departments to submit all documentation and work tickets required for workforce development. Provides support for unit audits and assists in maintaining agency regulatory compliance.

Coordinates all purchasing and tracking of expenses for supplies, books, uniforms, certification testing vouchers, postage, classroom teaching aides, mileage, IT equipment, employee relations, business lunches, Training and development, travel, conferences, membership dues, hotel and travel, and specific assistance to clients.

Assists in developing and maintaining relationships with community partners as deemed necessary by the Vice President of Workforce Development and leadership team members.

Serves as liaison for workforce development in Human Resources, Accounting, Marketing, Contract Services, and Information Technology departments.

Provides oversight of document maintenance and compliance across units.
- Provides administrative organization for all documents required by agency support service units about the applicable policies and procedures. This includes reviewing documentation for completion and compliance, obtaining signatures, final submissions and follow-up, and providing Notary Public services as needed.

Provides organization and assistance for unit grant submissions. This includes obtaining required documentation and signatures, working with agency partners, and ensuring that grant requirements are implemented successfully.

Effectively track active contracts. Ensure contracts are administered effectively for compliance.

Assist in effective data collection and reporting of unit-level performance and financial metrics.

Assist in developing, implementing, and enforcing unit level procedures and processes to support an effective and compliant operation.

Maintain list of core strategic contacts for the unit updated.

Oversee the specific assistance policy, procedure, and process to ensure the compliant and effective distribution of financial assistance to clients across programs.

To accommodate business needs and objectives, other duties may be assigned by leadership.
REQUIREMENTS

Associate’s degree or higher Equivalent work experience may be accepted in lieu of education
- three (3) years of experience in office management/ high-level administrative support function preferred.
- Experience in social services and or educational institutions is strongly preferred.
- Excellent written and verbal communication skills with the ability to effectively collaborate with multiple constituencies to achieve mission goals.

Advanced skills in MS Office Word, PPT, Excel, and people services databases; intermediate knowledge of troubleshooting hardware and software problems; knowledge of Internet applications.
