Job Description:
We are seeking a dynamic and organized Office Manager to join our ambulance company. As the Office Manager, you will play a pivotal role in ensuring the efficient operation of our administrative functions and fleet management. Your primary responsibilities will include:
Administrative Responsibilities:
- Receive and manage Calls: Professionally handle incoming emergency and non-emergency calls
- Scheduling and Dispatch: Coordinate ambulance schedules and dispatching of vehicles and personnel to ensure timely response to emergency calls.
- Billing and Invoicing: Coordinate the billing processes with the billing department, including insurance claims, patient billing, and payments, to ensure accurate and efficient revenue collection.
- Record Keeping: Maintain organized and up-to-date records of patient information, medical reports, and vehicle maintenance logs, ensuring compliance with regulatory requirements.
- Inventory Management: Oversee the inventory of medical supplies, equipment, and medications, ensuring that stock levels are adequate and ordering supplies as needed.
- Staff Management: Assist in recruiting, training, and supervising administrative staff, including receptionists and billing clerks.
- Communication: Act as a point of contact between the administrative office and field personnel, fostering effective communication within the company.
- Compliance and Regulations: Stay updated on healthcare regulations and ensure the company's compliance with all relevant laws, such as HIPAA.
- Budget Management: Help in managing the office budget, tracking expenses, and identifying cost-saving opportunities.
- Customer Service: Ensure excellent customer service by addressing inquiries, resolving complaints, and maintaining a positive reputation in the community.
- Quality Assurance: Implement and monitor quality assurance programs to maintain high standards of patient care and customer service.
- Technology and Software: Utilize technology and software systems for scheduling, billing, and record-keeping, and oversee updates and training for staff.
- Fleet Maintenance and Inspection Coordination.
- Vehicle Licensing and Regulatory Compliance.
Qualifications:
- Proven experience in office management and fleet coordination.
- Knowledge of healthcare regulations, including HIPAA.
- Strong organizational and communication skills.
- Ability to manage multiple tasks effectively.
- Proficiency in office software and scheduling systems.

Job Type: Full-time
Pay: $16.00 - $20.00 per hour
Expected hours: No less than 40 per week
