RESPONSIBLE TO: Executive Director
PRIMARY FUNCTION
The Director of Human Resources is responsible for all campus personnel issues, payroll and recruiting for open positions throughout Friends Village. The Director will support and oversee HR polices; direct and coordinate human resource activities, such as benefits, training, and orientation of new team members. The Director of Human Resources will also maintain all personnel files including HR related documentation.
QUALIFICATIONS
Minimum Education Required: Bachelors Degree in Business Management/Human Resources
Minimum Experience Required: Three to five years human resources related experience.
Specialized Knowledge/Skills: General knowledge of the principles and practices of personnel administration and knowledge of all aspects of personnel management. Must have demonstrated ability to conduct business in a professional and respectful manner. Must be able to work independently and handle multiple tasks simultaneously. Must possess strong typing abilities, excellent phone skills, good communication and public relations skills as well as being well-organized and attentive to detail. Willing to cooperate with and assist others. Able to use computer, printer, phones, and basic business equipment. Must be able to key/enter data into database systems with a high degree of accuracy. This position requires on campus work.

Physical/Environmental Conditions: Must be able to sit, stand, squat, stoop and kneel for different lengths of time. Must be able to lift a minimum of 25 pounds for various time spans. Must be able to push/pull a minimum of 25 pounds.
Equipment Requirements: Knowledge of computers; MS Word, Excel, Publisher, Power Point and Outlook. Knowledge of general office equipment including copiers, fax machines, cell phones, walkie talkies, calculators, shredders, and more.
FUNCTIONS AND RESPONSIBILITIES
1. Responsible for all aspects of hiring Friends Village team members.
a. Responsible for reviewing and updating Friends Village’s employment application.
b. Responsible for reviewing and recording all completed applications.
c. Direct all completed applications to the proper departments for review.
d. Ensures that hiring procedures are in place, including recruitment, interviewing, and job offers.
e. Develops and administers an effective onboarding/orientation program.
f. Serves as Friends Village’s EEO specialist.
g. Gathers, when appropriate, employment verifications.
h. Consults with appropriate directors for identifying of staffing or operational needs.
2. Maintains team member personnel information.
a. Responsible for creating new team member’s personnel folders.
b. Responsible for maintaining all personnel folders; including filing of all pertinent team member information.
c. Responsible for making sure that all of the proper hiring forms are filled out correctly and stored in the correct locations within a timely manner.
d. Ensures that all termination paperwork is filled out completely and filled within a timely manner.
e. Completes requests for employment verifications.
3. Assists with employment benefits.
a. Ensures that new team members or team members changing status receive their benefits enrollment information in a timely manner.
b. Coordinates open enrollment with the appropriate benefit’s providers and communicates all changes in benefits to all team members.
c. Maintains monthly bills to make sure that Friends Village is being billed correctly.
d. Processes terminated team member’s information to Friends Village’s broker for timely COBRA notifications.
4. Maintains all team member related policies and procedures.
a. Responsible for creating, updating or terminating policies and procedures that involve Friends Village team members.
b. Responsible for working with corporate to update the team member handbook.
c. Proposes, publishes and administers personnel policies.
d. Answers questions about the application of policies or procedures.
5. Coordinates information for team members about the happenings of Friends Village.
a. Responsible for communicating any and all changes regarding team member policies and procedures.
b. Responsible to sending ot all team members the daily “huddle”.
6. Develops team member related forms.
a. Designs personnel forms.
b. Develops new and/or rewrites and updates current job descriptions.
c. Writes and updates performance evaluations. Keeps directors aware of when team members are due for their annual performance evaluations.
7. Responsible for unemployment and workers compensation.
a. Monitors unemployment claims, processes all paperwork and responses to all appeals in the appropriate manner.
b. Monitors workers’ compensation claims, works with insurance carrier to coordinate doctor’s appointments, work restrictions and returning to work.
8. Manages personal career growth.
a. Keeps current and remains informed and knowledgeable on activities, laws, rules and regulations that effect team members.
b. Serves as a member of various committees as required.
c. Attends conventions, seminars, workshops and meetings as necessary.
d. Ensures that team members are connected to our online training (Relias) nd are compliant with monthly requirements.
9. Responsible for investigations regarding employment related issues.
a. Assists in settling conflicts or problems.
b. Interview individuals involved in complaints/grievances.
c. Recommends personnel actions including firing, promoting or disciplining team members.
d. Responsible for recording complaints, interviews/conversations regarding team members.
10. Works with all other departments and directors within Friends Village.
a. Participates in facility meetings, training classes and events promoting Friends Village.
b. Monitors and advises managers in the progressive discipline system and with the performance improvement process of non-performing team members.
11. Leads Friends Village’s compliance with all team member related legal requirements.
a. Maintains management’s training on all legal requirements including Equal Employment Opportunity (EEO), Americans with Disabilities Act (ADA), Family and Medical Leave Act (FMLA), Employee Retirement Income Security Act (ERISA), Occupational Safety and Health Administration (OSHA), workers compensation, the Department of Labor, and so forth.
b. Directs the preparation of information requested or required for compliance with laws.
c. Protects the interests of team members and Friends Village in accordance with policies and governmental laws and regulations.
12. Responsible for labor relations, team member recognition and team member related activities.
a. Assists in the development of team member recognition programs, such as team member of the month.
b. Plans on-site team member holiday party, with years of service recognition.
c. Plans mid-year team member recognition, with food truck event.
d. Identifies and monitors Friends Village’s culture so that it supports the attainment of Friends Village’s goals and promotes team member satisfaction.
e. Supports Fellowship Spirit training and ensures that all team members attend.
f. Manages team member satisfaction surveys, focus groups, one-on-one meetings, suggestion programs and team member information meetings.
13. Completes by-weekly payroll for team members and ensures timely submission to the payroll carrier.
14. Communication Skills.
a. Builds and maintains effective relationships with all individuals (e.g., residents, family members, visitor, team members and members of the community) that reflect mutual respect, courtesy and cooperation.

15. Departmental Responsibilities.
a. Establishes or assists in the development of annual departmental goals and objectives in accordance with the organization’s short and long-range plans.
b. Meets annual non-financial departmental goals and objectives with approved explanations for variances.
c. Effectively utilizes capital, operational and/or personnel within budgetary guidelines with approved explanation for variances. Assures the effective use of equipment, time, supplies, telephones, computers and other resources.
d. Contributes to the development, maintenance and/or administration of current department policies and procedures; revises as appropriate and reviews annually.
e. Is aware of, maintains currency in and ensures compliance with departmental professional standards and regulatory requirements.
f. Willingly accepts additional duties and/or responsibilities whenever possible.
g. Consistently demonstrates support of departmental performance improvement
program.
h. Understands and consistently follows proper safety policies and procedures;
takes responsibility and appropriate action when necessary.
i. Understands and consistently follows proper emergency policies and procedures. (RACE: Rescue-Alert-Contain-Evacuate); takes responsibility and appropriate action in the event of an emergency.
j.Attends and participates in all mandatory in-service education classes, seminars and on- the-job training programs as required.
k. Understands and consistently follows proper infection control policies and procedures; takes responsibility and appropriate action when necessary.
17. Organizational Responsibilities
a. Actively participates either individually and/or as a member on committees, special projects or staff meeting; encourages and seeks to enroll team members’ participation on committees, special projects or staff meeting (e.g., assigns staff team members to participate in committees, projects or staff meetings as appropriate).
b. Contributes to the development, implementation and monitoring of the performance improvement for the department(s); reviews annually and revises as necessary. Follows up on results of performance improvement monitoring in an appropriate timeframe as determined by performance improvement committee.
c. Complies with and enforces infection control, health, safety and security procedures for all individuals; documents and reports unsafe conditions or situations immediately and incidents within 24 hours (e.g., ensures all team members display ID badges appropriately; articulates department’s response plan to each emergency code; completes and processes incident reports as appropriate within 24 hours; complies with appropriate OSHA regulations specific to departments).
d. Participates in manger on duty rotation on campus (Sat/Sun 10a-2p) every 8 weeks.
18. Performs other duties and tasks as assigned.
19. Complies with the Code of Conduct.
20. Supports and coaches Fellowship Spirit culture throughout the organization.
Job Type: Full-time
Pay: $65,000.00 - $70,000.00 per year
