**Position Overview:**
We are seeking a detail-oriented and proactive Administrative Assistant to provide essential support to our Operational Manager. The ideal candidate will possess excellent organizational skills, impeccable attention to detail, and the ability to thrive in a fast-paced and compassionate work environment. As the Administrative Assistant, you will play a vital role in ensuring the smooth operation of our hospice services.
**Key Responsibilities:**
- Provide administrative support to the Operational Manager, including managing calendars, scheduling meetings, and handling correspondence.
- Assist in the coordination of day-to-day operations, including maintaining records, preparing reports, and managing office supplies.
- Serve as a point of contact for internal and external stakeholders, responding to inquiries and directing communication as appropriate.
- Coordinate travel arrangements and accommodations for the Operational Manager and other team members as needed.
- Assist in the preparation and organization of documents, presentations, and other materials for meetings and presentations.
- Perform clerical tasks such as data entry, including entering new patient intake information into the system, printing documents, and filing records accurately and efficiently.
- Maintain confidentiality and handle sensitive information with professionalism and discretion.
- Collaborate with other team members to ensure seamless communication and coordination across departments.
- Perform general office duties, such as photocopying, scanning, and organizing paperwork, to support efficient workflow.
**Qualifications:**
- Previous experience in an administrative role, preferably in a healthcare or hospice setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
- Strong organizational skills and the ability to prioritize tasks effectively to meet deadlines.
- High degree of attention to detail and accuracy in work.
- Ability to maintain composure and professionalism in high-pressure situations.
- Compassionate and empathetic demeanor
**Preferred Qualifications:**
- Associate's or healthcare administration, or a related field.
- Experience working in a hospice or healthcare office environment
- Familiarity with electronic medical records (EMR) systems
