Executive Assistant
Position Details:
Monday through Friday, 8 am to 5 pm
Location: Jacksonville Office
Note: This role will primarily be in-office and may require on-site representation of executives on ‘remote’ office days for meetings and/or events as needed. Occasional flexibility with hours and days is to be expected.
Job Summary:
The Executive Assistant will provide high-level administrative support to the Executive Chairman, C-Suite, and President and is trusted with complex duties and sensitive information.
Additionally, the Executive Assistant will support meeting coordination, maintaining data, producing reports and presentations as well as oversee special projects for the executive leadership. Being organized and thriving in an entrepreneurial setting is essential. The ideal candidate will need strong judgment skills, excellent communication (both written and verbal), top-notch administrative skills, and the ability to juggle multiple priorities effectively.
Duties/Responsibilities:-
Create and maintain professional PowerPoint presentations for executive meetings and events.

Assist executives in coordinating and organizing meetings, including scheduling, preparing agendas, and managing meeting logistics.

Manage confidential information with the utmost discretion and confidentiality.

Represent the executive team with professionalism in communications and onsite presence.

Perform general administrative tasks such as drafting letters, managing expense reports, memos, reports, and other documents.

Coordinate travel arrangements, accommodations, and detailed itineraries for executives.

Receive and review incoming communications or memos, summarize contents, and distribute them appropriately.

Perform additional duties and special projects as assigned by executives.
Required Skills/Abilities:-
Extremely proficient with Microsoft Office Suite, including Microsoft Powerpoint, Excel, Word, Teams, scheduling platforms such as Zoom, Calendly, and the ability to learn new or updated software.

Strong interpersonal skills and the ability to interact professionally with internal and external stakeholders.

Excellent verbal and written communication skills, with attention to detail and accuracy.

Outstanding organizational and time management skills, with the ability to prioritize tasks effectively.

Ability to work independently and proactively manage tasks and priorities.
Education and Experience:-
High school diploma required; Bachelor's degree in Business Administration or related field preferred.

At least four years of related experience required, preferably as an Executive Assistant or similar role.
Physical Requirements:-
Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
