Summary:
Newton, MA fixed hybrid schedule, 3 days in office.
The Human Resources Coordinator plays a critical role in supporting activities for the day to day operations of the people and culture team, primarily in service to the home office teams, while also providing programmatic support for our benefits, talent and compensation centers of excellence. The person in this role serves as the “go to” resource for our home office team members and managers on full employee lifecycle activities such as onboarding, welcome and orientation, employment related questions, rewards and recognition, culture activities coordination and offboarding. This is a role that requires someone that is highly service-oriented to our teams, highly organized, proactive and capable of handling multiple tasks for several stakeholders. This is an expanding role with growth potential and is a great opportunity for those looking to further develop their HR career!
Key Responsibilities:
Onboarding:

Provide support to leaders in coordinating team member onboarding schedule.

Conduct new hire orientations and ensure all onboarding paperwork is completed.

Upload paperwork to team member workday profile.
-
Ensure timely and accurate completion of I-9 documents and filing with E-Verify system.
-
Assign team member new hire buddy to help ensure positive onboarding experience.
Employee Relations & Culture
-
Address employee questions regarding HR policies, benefits, and other HR-related issues.
-
Triage to centers of excellence, including We Really Care team as needed for additional support on escalated or complex issues.
-
Provide assistance in resolving issues as needed.
-
Assist in the development and implementation of HR policies and procedures.
-
Maintain accuracy and completeness of the People and Culture portal and Benefits Portal with update collateral and changes as needed.
-
Provide support for annual performance review and compensation cycle for home office, including setting up and testing of review form in the Workday HRIS system with IT, providing regular reporting and tracking on cycle progress and providing data organization and analysis at close of cycle.

Administer the home office recognition program – providing monthly, quarterly and annual updates, drafting communications and tracking utilization. Set up funding requests through finance for these programs.

Support company wide incentive program administration such as “all team” incentive award distribution and tracking.

Participate as a member of the home office “Culture Club” and help to develop and execute culture events throughout the year; track and coordinate culture club budgets and spending.
Compensation and Benefits Administration:

Assist employees with benefits enrollment and questions.

Help to upkeep and maintain the benefits portal for team members ensuring all relevant and up to date information is included.

Coordinate with benefits providers to manage employee benefits.

Provide support on annual total rewards statements creation and distribution.
- Research and organize content for the monthly wellbeing newsletter

Provide support and organization on various wellness program campaigns and contests.

Help with assigned research projects on various topics to identify best in class offerings and benchmark information to drive internal program development and recommendations.

Support the setup of the annual corporate flu clinic and wellness events

Update the program utilization dashboard on a monthly basis by collecting data from various resources and providing to leadership team.

Maintain program communication calendars and “get connected” data in support of communications and benefits team initiatives.
-
Support M&A plans and coordination as needed.
Employee Files and Records
-
Maintain and update employee files and records in HR systems.
-
Handle employee records and documents, ensuring accuracy and confidentiality and protection of data.
-
Complete employment verification letters and team member role change / promotion letters.
-
Ensure timely and accurate employee transactions are completed in the Workday system for home office team members.
-
Provide ad hoc reporting lists on headcount and other team member demographic data as requested from Workday.

Act as liaison with offshore partner and internal managers to ensure coordination of offshore team member performance and salary reviews.

Maintain organizational charts and headcount tracking file on a regular basis.
Team Member Offboarding

Work with managers and team members to help ensure a smooth offboarding process.

Coordinate IT equipment collection and return.

Schedule exit interviews and collect exit interview data.
Special Projects:

Participate in special HR and seasonal projects and initiatives as needed.
