Summary:
As Education Coordinator, responsible for the planning, implementation and supervision of all children’s programs, promoting visibility and a positive image of the organization through community awareness and community events, actively pursuing the development and implementation of comprehensive humane education and children’s programs.
As Events Coordinator, responsible for the planning, coordination, and reporting of in-house and offsite events, including fundraising events.
Essential Duties/Responsibilities:
Humane Education and Children’s Programs
- Responsible for all aspects of planning, promoting and implementation of “Adopt-a-Classroom”, Storytime, CAP Kids Club, Kids and Kritters Camp and other children’s programs.
- Promote CAP’s Humane Education programs and presence in the community by recruiting and engaging with schools, libraries, and scout groups, and participating in community health fairs, and other off-site events.
- Actively seek new fundraising partnerships and initiatives, in-kind donations and small grants as appropriate.
- Attend staff meetings and training days as required.
- Attend career development meetings and seminars as approved by the Executive Director.
- Schedule and host shelter tours, both in-person and virtually.
- Schedule and host meetings, service events, scout events, Storytime, and meetings in the education room. Post events to the Education Center calendar as appropriate.
- Schedule, coordinate, and host birthday parties, Education Center rentals, including reserving rooms, collection of payment, confirming details, supervision of birthday or event as appropriate, preparation of goody bags and other decorations for the party (including purchasing or ordering if necessary), scheduling (in coordination with the Volunteer Coordinator) and training any volunteers to work parties, setup and break down of education room before/after parties.
- Develop lesson plans and schedules, and lead winter, spring, and summer camp programs. This includes updating registration forms, FAQ’s information, and webpages with current content, collecting payments, assisting parents with questions, supervision and training of staff and volunteers for camps, ordering / purchasing of all supplies, and reporting all outcomes to the Executive Director. All promotional materials are to be developed in coordination with the CAP Marketing Coordinator.
- Regularly assess the Humane Education program and suggest changes based upon what would be best for CAP.
Shelter and Community Events
Start to finish ownership of ALL events on- and off-campus events, including initiating planning, coordinating with key persons, filling in roles as needed, and post-event reporting. Work to promote and increase visibility for CAP programs and services at community events, festivals, trade shows and other public events as well as on-site events. Responsible for all applications, deadlines, and requirements to maintain CAP’s participation in these events.
· Responsible for the production and hosting of in-house events, including fee-waived adoption events, West Houston Subaru sponsored events, Puppy Bowl, Kitten Bowl, Howl-o-ween, Tour for Life, CAP Holiday Open House, Teen Service Days, and various CAP fundraisers as needed. This includes but is not limited to helping prepare the shelter for adoption events with set-up and breakdown of décor, seating, sponsor tables, etc. and greeting both the public and volunteers attending events, etc.
· Responsible for ensuring that all CAP employees, management, volunteers, etc are fully informed, understand their responsibilities associated, and understand how their department will be affected by the event.
· Promote, coordinate, advertise, and prepare reports as needed for all CAP programs and events (with assistance from appropriate staff members), including but not limited to adoption events, open houses, and special events.
· Complete online registrations, schedule and attend fundraising employee events when requested such as local CFC, CMC, SECC fairs, corporate health fairs, etc. acting as a representative for CAP, promoting giving programs and adoption events.
· Attend and coordinate CAP’s responsibilities of the event with the Executive Director as required with Celebrity Paws Gala, Gala pre-parties, Christmas Open House, Tour for Life, CAP Codicil Luncheon, Volunteer & Staff Awards Party, PAWchitecture, and any other fundraising activities or special events as requested.
· Act as a spokesperson for the organization to further promote CAP’s programs, upcoming events, policies, and procedures, including preparing and presenting to local organizations and at local community events about CAP when invited and scheduled. Coordinate with the Marketing Coordinator to make TV appearances and conduct radio and media interviews, including “Pet of the Week” events at local radio/tv stations as approved by the Executive Director.
· Work with Marketing Coordinator to submit upcoming events to PetTalk Magazine for publication.
· Regularly assess the impact of events on CAP and its mission; provide reporting to the Executive Director after each event. Offer suggestions for improvements, new ideas, and communicate challenges.
· Assist the Executive Director and Shelter Director wherever needed.
Other
- Work as a team in the administrative area and with other Coordinators at CAP to assist them in their projects and events and, in turn, regularly reach out for help within this group for your own projects when needed
- Attend administrative meetings and employee training, as required
- Assist in reception and Pet Supply areas on occasion, as needed
- Act as a backup for the Volunteer Coordinator, as needed
- Should understand and follow the principles of animal care and the policies and procedures of the organization

A nonprofit is organized and operated for a collective, public, or social benefit and relies heavily on community involvement and resources. By its definition, a nonprofit is not owned by anyone and does not make a profit to be distributed to anyone. Any profits made are used toward a nonprofit’s mission; in our case, all profits go to take care of the animals. CAP relies heavily on volunteers and donations to supplement adoption and intake fees which do not cover the cost of rehabilitating and taking care of the animals. Physical Requirements:
Constant:
● Moving self in different positions to accomplish tasks in various environments including tight and confined spaces.
● Remaining in a stationary position, often standing or sitting for prolonged periods.
● Being able to pack, safely organize, and lift various marketing materials and equipment up to 30 pounds.
● Working with a computer screen for the majority of the day.
● Repeating motions that may include the wrists, hands and/or fingers.
● Driving to different locations as needed; may include loading and unloading of animals in kennels
Occasional:
● Working with animals: including retrieving animals from kennels; working with potentially aggressive animals that may bite, scratch, or otherwise cause injury; and working with animals with potential zoonotic diseases.
Environmental Conditions:
● May include noisy environments, including barking and other animal noises
● May include pungent smells from animal caretaking

Required education and experience:
● High school diploma or equivalent
● Experience with a non-profit organization in the field of education, public relations or community relations
Preferred experience:
● Two years of college or more
● Some supervisory and management experience
