We are looking for a versatile Legal Secretary to run our reception department. In this role, you will be required to welcome visitors and answer calls and support the Pre-Litigations staff. As a Legal Secretary, your duties include scheduling appointments, handling inquiries, and managing mail and deliveries. You may also be required to assist with filing, electronic faxing, client files, and preserve updated case record system.
To ensure success as a Legal Secretary, you should exhibit excellent communication skills and competency in general office administration. Outstanding Legal Secretaries are polished professionals who create a positive first impression.
Responsibilities:-
Welcoming clients and visitors upon arrival at reception.

Provide administrative support to Pre-Litigations staff, and HR.

Answering, screening, and forwarding phone calls in a professional manner.

Assisting clients and visitors with the location of legal staff.

Assist Case Managers with cases, liaison between clients and case managers.
- Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders.

Observing business etiquette and maintaining a professional appearance.

Directing the flow of mail, faxes, and deliveries to reach the intended recipients.

Ordering and replenishing office supplies.

Managing the maintenance and repair of office equipment.

Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.

Preparing meeting facilities, and arranging refreshments, if required.

Assist with new hire setup (receive computer equipment, set up new hire desks with basic supplies prior to first day)

Capability to learn case file system – FileVine.

Utilizing internal messaging system RingCentral

Maintain quarterly expense report in MS Excel for travel and entertainment to ensure yearly budget is maintained.

Transmit information or documents using computer, mail, scan/email, or fax.

Managing of all inbound and outbound deliveries via Reception

Report business expenses, prepare reports for accounting submission.

Help facilitate projects from concept to creation.

Work together with CHRO/HR Generalist and clients, internal staff for support services

Creative mind- Creating monthly HR events calendar's - holiday's, national events, diversity-based recognition.
Requirements:-
AAS, degree or higher, Business focused or equivalent.

Formal qualification in office administration, secretarial work, or related training.

Proven experience as Legal Secretary

Qualification in paralegal studies or similar preferred.

Bilingual preferred but not required.

Prior experience as a legal receptionist will be advantageous.

Familiarity with legal terms, legal documents, and filing.

Excellent written and verbal communication skills.

Excellent time management skills.

Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems.

Exceptional interpersonal and communication skills.

Able to communicate with all levels of authority and staff.

Knowledge of constitution, legal terminology, regulations, and court system.

Working knowledge of litigation management software systems is a plus.
